Job Title: Receptionist and Administrative Assistant
Contract: Permanent Hours: Full Time, 37 hours, Monday to Thursday, 8:30am - 5:00pm and Friday 8:30am - 1:30pm Location: Warwick, Office Based Salary: £24,454 per annum, plus additional discretionary bonuses Benefits: 22 days annual leave, increasing to 32 days with service, plus bank holidays, parking permit, contributory pension scheme, paid overtime at time and a half, EAP programme and private healthcare after length of service.
The Role
We are recruiting for a Receptionist and Administrative Assistant to join our well-established client based in Warwick. This is a varied and highly visible role, combining front of house reception, customer service, hospitality and business administration. You will be one of the first points of contact for clients, visitors and colleagues, so a warm, professional and approachable manner is essential. Working as part of a team, you will help ensure the smooth running of the reception areas and provide a consistently high standard of service across the business. The role offers plenty of variety, from welcoming visitors and managing the switchboard to supporting meetings, arranging refreshments, coordinating couriers and providing general administrative support. The successful candidate will be confident, organised and professional, with a genuine passion for delivering excellent customer service. You will need a can-do attitude, strong attention to detail and the ability to remain calm and discreet when managing a busy and varied workload.
Key Responsibilities
- Providing a warm, friendly and professional welcome to all visitors, including external clients and internal staff.
- Managing incoming calls via the switchboard, screening calls appropriately and directing them to the relevant team members.
- Supporting visitors and colleagues attending meetings, including providing refreshments, lunches and snacks to a high standard.
- Ensuring meeting rooms are clean, tidy and fully prepared before and after meetings, including replenishing stationery and catering supplies.
- Arranging catering requirements, taking dietary needs into consideration and ensuring orders are accurate and delivered on time.
- Preparing and sending parcels via courier and Royal Mail, liaising with couriers and ensuring accurate delivery instructions are provided.
- Managing incoming post and parcels and ensuring these are distributed promptly.
- Ordering and maintaining appropriate levels of stationery and catering consumables.
- Liaising with the Facilities Manager regarding cleaning, maintenance and meeting-room requirements.
- Supporting the administration team during busy periods and providing additional administrative assistance as required.
- Working closely as a team to ensure reception and business support duties are effectively covered and fairly allocated.
- Maintaining a high level of confidentiality and discretion when dealing with clients, visitors and colleagues.
- Supporting the smooth running of the reception function and wider business support activities as required.
Skills and Experience Required
- Previous experience in a customer-facing, reception, hospitality or administrative role.
- Confident and professional with a genuine passion for providing excellent customer service.
- Excellent verbal and written communication skills.
- Strong organisational skills, with the ability to prioritise and manage a varied workload.
- Excellent attention to detail and pride in the quality of your work.
- Confident using Microsoft Office, particularly Outlook.
- A team player with a positive, flexible and can-do approach.
- Professional, friendly and approachable, with the ability to demonstrate tact and discretion.
- Comfortable working within established procedures and processes.
- Able to remain calm under pressure and adapt to changing priorities.
- Well presented and takes pride in representing the business professionally.
- Previous experience within hospitality or the airline industry would be advantageous.
