Project Name: Supplier Statement Integral Management Project Project Objectives: Improve the organization, review, reconciliation, and response of supplier statements, ensuring clear, timely, and efficient communication between suppliers, internal clients, and the accounts payable team. Task Description: Reception and centralization of statements sent by suppliers. Organization and classification of information by supplier, date, and payment status. Review and reconciliation of statements against internal records (invoices, payments, and purchase orders). Identification of differences, pending payments, or missing documents. Formal response to suppliers through updated electronic files. Follow-up on clarifications and resolution of discrepancies with suppliers. Coordination with internal areas (purchasing, finance, operations) to validate information. Communication of payment status and pending items to internal clients. Support in prioritizing payments according to urgencies and internal policies. Consolidated electronic file of supplier statements, which will include: Updated and cleaned information by supplier. Reconciliation of balances between the internal system and the supplier. Record of payments made, pending, and in process. Relevant observations and clarifications for each supplier. Organized structure for easy consultation and updating. This file will serve as the official base for consultation and follow-up, allowing traceability, control, and transparency in accounts payable management.
