Job Scope – The Administrative Executive / Administration Assistant is responsible for supporting the daily operations of the tuition centre and ensuring smooth communication between parents, students, teachers and management.
Key Responsibilities
Parent & Student Enquiries
Attend to enquiries from parents and students via WhatsApp, phone calls and walk-ins.
Provide information on class schedules, course fees, available slots and centre programmes.
Follow up with prospective parents and assist with student registration and enrolment.
Handle parents' requests, feedback and administrative matters professionally.
Student Administration
Register new students and maintain accurate student records.
Update student particulars, class enrolments, transfers and withdrawals.
Maintain and update class lists.
Monitor student attendance and follow up on absences where necessary.
Arrange replacement or make-up lessons according to centre policies.
Class Scheduling
Coordinate class schedules and classroom arrangements.
Assist with class transfers and replacement lessons.
Inform parents and students of changes to class timings, teachers or classrooms.
Coordinate with teachers regarding student movements and class arrangements.
Fees & Payments
Collect and record course fees, material fees and other payments.
Issue invoices and receipts where required.
Follow up on outstanding fees and payment matters.
Ensure payment records are updated accurately.
Requirements
Good communication and interpersonal skills.
Comfortable communicating with parents and students.
Responsible, organised and detail-oriented.
Able to multitask in a fast-paced tuition centre environment.
Basic computer skills, including Microsoft Word and Excel/Google Workspace. Able to work independently as well as part of a team.
Previous administrative or customer-service experience is an advantage.
Experience working in a tuition or education centre is an advantage.
Working hours:
4 weekdays, one of which must fall on a Friday, from 1:45pm to 7pm
