Job Summary
The Purchasing Specialist is responsible for sourcing, evaluating, and procuring goods and services needed to support day-to-day operations, ensuring the organization receives quality products at competitive prices and in a timely manner. This role manages a specific category or set of vendor relationships, tracks purchase orders from request through delivery, and works closely with internal departments to understand purchasing needs and budget constraints.
Essential Duties & Responsibilities
Source and evaluate suppliers/vendors based on price, quality, reliability, and delivery timelines
Prepare, issue, and track purchase orders (POs) through fulfillment
Negotiate pricing, terms, and contracts with vendors within assigned category
Monitor inventory levels and reorder points to prevent shortages or overstock
Resolve discrepancies related to pricing, delivery, quality, or invoicing
Maintain accurate procurement records and vendor documentation
Build and maintain positive relationships with key suppliers
Collaborate with internal stakeholders (Finance, Operations, department heads) to forecast needs and align purchasing with budget
Research market trends and pricing to identify cost-saving opportunities
Ensure compliance with company purchasing policies and procedures
Assist with vendor onboarding and accounts payable process
Qualifications
Bachelor's degree, or equivalent experience or relevant certifications
5+ years of purchasing, procurement, or supply chain experience
Strong negotiation and vendor management skills
Proficiency with purchasing/ERP software (e.g., SAP, Oracle, NetSuite) and Microsoft Excel
Excellent organizational and communication skills
Detail-oriented with strong analytical and problem-solving abilities

This is a full-time, Exempt position. Must be able to work flexible hours including nights, weekends, and holidays as needed..
