Recruitment Coordinator
This is a highly operational role where accuracy, organisation and responsiveness directly impact the experience of our candidates, clients and internal teams.
You will be responsible for keeping multiple recruitment processes running smoothly — from managing candidate information and coordinating interviews to handling time-sensitive requests across different stakeholders and time zones.
This role is ideal for someone who is meticulous, highly organised and comfortable managing a large volume of information and moving parts at the same time . You should enjoy creating structure, keeping things tidy and making sure nothing falls through the cracks.
Sounds great – what will I do?
- Manage and maintain accurate candidate information across internal systems, ensuring data is complete, up to date and correctly captured.
- Work closely with recruiters and other team members to support a high volume of candidate processes on a daily basis.
- Prepare and present accurate candidate information to clients, ensuring all relevant details are captured and communicated clearly.
- Coordinate a high volume of interviews, technical assessments and other recruitment activities across multiple candidates, stakeholders and time zones .
- Manage calendars and scheduling changes, proactively resolving conflicts and ensuring all parties have the correct information and meeting details.
- Track candidate progress throughout the recruitment process and follow up on outstanding actions, deadlines and feedback.
- Consolidate and manage information received through different channels, including email, messaging platforms, internal systems and documents.
- Conduct other candidate-related administrative processes where required.
- Support the team with ad hoc administrative and operational tasks.
- Identify gaps, inconsistencies or potential issues in the recruitment process and take ownership of resolving them before they become problems.
- Manage competing priorities effectively while maintaining a high level of accuracy and responsiveness.

- Comfortable juggling multiple priorities simultaneously without losing track of deadlines or follow-ups.
- Strong ability to coordinate schedules across different time zones, calendars and stakeholders .
- Able to manage and organise a significant amount of information from multiple sources and channels.
- Proactive and able to anticipate what needs to be done rather than waiting to be told.
- Strong sense of ownership and accountability — if something is on your plate, you make sure it gets done.
- Comfortable working in a fast-paced, lean environment where priorities can change quickly.
- Independent and resourceful, while also being a strong team player.
- Positive, service-oriented and customer-focused , with the ability to communicate professionally with candidates, clients and internal stakeholders.
- Strong written and verbal communication skills.
- Proficient with Microsoft Office / Google Workspace and comfortable learning and using different software and systems to work efficiently.
- Knowledge of Singapore employment practices and/or employment regulations across APAC would be an advantage.
