Sales Operations Coordinator
Must-have:AI
Your tasks
The Sales Operations Coordinator is the execution arm behind the saleslead — the person who turns a closed deal into a delivered event: manpower, logistics, on-site presence, and keeping client expectations matched to what'sactually being delivered. Reports to the Sales Lead.
- Manpower coordination — source, confirm, and schedule trainers/facilitators/support staff per event; chase confirmations and arrange last-minute replacements when someone drops out.
- Pre-event briefings — brief assigned staff on event scope, client expectations, site specifics, and contingency plans before each engagement.
- Site recce — visit venues ahead of events to confirm layout, access, power/AV, parking, and flag issues before they become day-of problems.
- Packing lists — draft and maintain accurate, event-specific packing lists (equipment, signage, consumables); verify items are packed out and returned.
- On-ground event lead — act as the point of contact on event day: manage setup, staff, timeline, and troubleshoot issues in real time.
- Client expectation management — keep the client informed of logistics, changes, and risks before they escalate; flag scope creep to the sales lead early, not after the fact.
- AI-assisted workflows — use Claude (or an equivalent AI tool) as a working tool for the role: drafting packing lists, briefing notes, manpower schedules, and client updates.
- Logistics management — own transport, storage, and equipment movement for events; make sure the right gear is in the right place at the right time.
- Administrative support — pick up admin work as needed (data entry, filing, follow-up emails, sheet updates) to keep the sales lead and the broader team unblocked.
What Success Looks Like
- Zero manpower no-shows — or covered within the hour when one happens.
- Packing lists that match what's actually needed, with no mid-event scramble for missing items.
- Site recce catches problems before event day, not during it.
- The client hears about a problem from us before they have to ask.
Requirements
Requirements & Competencies
- 1–3 years in events, operations, or logistics coordination; sales-ops or client-facing ops experience a plus.
- Comfortable with fieldwork — on-site event days, early mornings or weekends, physical setup/teardown.
- Strong organizational skills — can run a checklist under time pressure without dropping details.
- Clear, calm communicator, both with manpower on the ground and with clients when plans change.
- Working comfort with AI tools (Claude or similar) for drafting documents, checklists, and coordination messages; willing to learn Team Axis's AI-assisted workflows.
- Able to multitask across several disciplines at once — manpower, logistics, and client comms often compete for attention on the same day.
- Coordinates effectively between the sales team and the client, keeping both sides aligned on what's happening and when.
- Meets all expectations set for the event — no exceptions.
- Dynamic, hungry, a team player, and able to work independently without hand-holding.
