PROJECT/SITE COODINATOR
Job Responsibilities Coordinate and support the day-to-day execution of construction projects to ensure works progress smoothly and according to project requirements. Coordinate closely with Project Managers, site teams, clients, consultants, suppliers, subcontractors and internal departments on project matters. Monitor project progress, key milestones and schedules, and follow up with relevant parties on outstanding matters and required actions. Prepare, maintain and update project schedules, trackers, progress reports and other project monitoring records. Coordinate project documentation, including quotations, purchase orders, delivery orders, invoices, claims, variation claims and supporting documents. Assist in preparing and compiling project submissions, reports, quotations and other project-related documents. Assist with quantity take-offs, cost estimates, cost tracking and basic project cost monitoring where required. Follow up on supplier and subcontractor quotations, deliveries, work progress and outstanding documents. Assist with contract administration and ensure relevant contract, project and commercial documents are properly maintained. Coordinate and monitor project correspondence, instructions, approvals, submissions and other documentation between the various parties. Maintain proper document control and ensure project records are complete, accurate and up to date. Assist with permit applications, regulatory submissions and compliance documentation where required. Monitor project expenditure and assist in preparing cost/progress tracking reports for Management and Project Managers. Assist in the preparation and submission of progress claims, variation claims, final accounts, invoices and other commercial documents. Follow up with clients, consultants, suppliers and subcontractors on pending approvals, payments, submissions and other project matters. Identify outstanding issues and coordinate with the relevant parties to ensure timely resolution. Provide administrative and coordination support to the Project Manager and site team. Maintain accurate project files, records, reports and correspondence for reference and audit purposes. Assist Management and Project Managers with ad-hoc project coordination and administrative matters. Perform any other duties and responsibilities assigned by Management from time to time. Requirements & Qualifications Diploma in Civil/Structural/Mechanical Engineering, Quantity Surveying or a related field. Minimum 5 years of relevant experience in project coordination, project administration or a similar role within the construction or engineering industry. Experience in coordinating with clients, consultants, suppliers, subcontractors and site teams. Good understanding of construction project processes, documentation and basic contract administration. Good coordination, communication, follow-up and organisational skills. Proficient in Microsoft Office applications, particularly Microsoft Excel and Word. Able to manage multiple projects, priorities and deadlines effectively. Strong attention to detail, problem-solving ability and ability to work independently. Good documentation and record-keeping skills. Preferably able to speak and write in both English and Chinese. Candidates with experience in earthwork, construction, haulage or related subcontracting works will be an advantage. Immediate availability is preferred.
