Payroll Coordinator

The Payroll Coordinator supports the Payroll Manager in the accurate and timely administration of payroll and payroll-related activities using Paylocity. This position is responsible for collecting and verifying payroll data, maintaining employee payroll records, processing payroll transactions, assisting with benefit deductions, ensuring compliance with federal, state, and local payroll regulations, and providing exceptional customer service to employees. The Payroll Coordinator also assists with payroll reporting, audits, year-end processing, and special projects while maintaining the highest level of confidentiality.
What you'll do
Collect, review, and verify employee timekeeping records to ensure accurate payroll processing
Review timecards for completeness and accuracy, following up with managers and employees to resolve missing or incorrect information
Assist with processing biweekly or semi-monthly payrolls using Paylocity
Calculate wages, overtime, shift differentials, bonuses, commissions, retroactive pay, and other payroll adjustments as directed
Process employee payroll changes, including new hires, terminations, pay rate changes, direct deposit updates, and tax withholding elections
Verify payroll deductions, including health insurance, retirement plans, Flexible Spending Accounts (FSA), Health Savings Accounts (HSA), garnishments, and other voluntary deductions
Reconcile payroll registers and reports prior to payroll submission to ensure accuracy
Research and resolve payroll discrepancies, overpayments, underpayments, and employee questions in a timely manner
Maintain accurate and confidential employee payroll records in Paylocity and related systems
Prepare and distribute payroll reports to the Accounting and Finance teams for reconciliation and financial reporting
Assist with payroll journal entries and reconciliation requests as needed
Prepare year-end payroll documentation, including W-2 processing and payroll tax support
Assist with payroll tax notices and provide documentation when requested
Support internal and external payroll audits by gathering reports and required documentation
Assist with payroll compliance by following applicable federal, state, and local wage and hour laws
Respond professionally to employee inquiries regarding paychecks, taxes, deductions, direct deposit, PTO balances, and payroll policies
Assist the Payroll Manager with payroll system testing, upgrades, and implementation of new payroll processes
Maintain payroll calendars and ensure payroll deadlines are consistently met
Recommend process improvements that enhance payroll accuracy and efficiency
Perform special projects and other duties as assigned
Qualifications
High school diploma or equivalent and Associate’s degree in Accounting, Business Administration, Human Resources, or related field required; Bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field preferred
One to three years of payroll, accounting, finance, or administrative experience required
Experience using Paylocity or a similar payroll/HRIS system required
Working understanding of payroll processing, payroll taxes, wage and hour laws, and employee benefits deductions
Intermediate proficiency in Microsoft Excel, including formulas, sorting, filtering, and basic reporting
Experience working with confidential employee information and a proven track record of professionalism
Preferred Qualifications
Experience processing multi-state payroll
Familiarity with payroll tax reporting and year-end processing
Knowledge of wage garnishments, benefit deductions, and paid leave programs
Experience supporting payroll audits and compliance initiatives

Discretionary Performance Bonus: 5-10% of base salary based on individual and company performance.
Salary Range: $59,000-$75,000
