PROGRAMME EXECUTIVE

  1. Reporting Officer

You will report to the Programme Lead for all matters relevant to this role.

  1. Duties

Academic Coaching Executive i) Programme Administration:

  • Collate and maintain consent, enrolment and other required programme documentation.
  • Provide administrative and logistical support for ACP sessions, workshops, activities, meetings and training.
  • Manage registration, attendance, reminders, venue arrangements, materials and other administrative requirements for programme activities.
  • Coordinate administrative arrangements for meetings, briefings and training.
  • Prepare meeting minutes and follow up on administrative action items.
  • Support procurement, quotations, claims, invoices and programme expenditure documentation.
  • Maintain proper filing and organisation of programme records and resources.
  • Support administrative coordination with programme partners and stakeholders where required.
  • Provide on-site administrative and logistical support for programme activities where required.

ii) Data & Programme Monitoring:

  • Maintain accurate and updated programme databases, trackers and dashboards based on requirements determined by the Programme Lead.
  • Collate and maintain participant, attendance, engagement, assessment and programme activity data.
  • Track completion of required programme documentation, assessments, surveys and feedback.
  • Identify missing, incomplete or inconsistent data and follow up for rectification.
  • Prepare data summaries, tables, charts and simple dashboards to support programme monitoring and reporting.
  • Collate information required for management, stakeholder and funder reporting.
  • Prepare regular programme statistics and administrative reports as required.
  • Highlight outstanding documentation, data gaps and administrative matters requiring attention to the Programme Lead.

iii) Communications:

  • Develop digital and print materials for programme communication, outreach and activities.
  • Create and adapt EDMs, presentation slides, workshop resources and other materials using Canva and digital tools.
  • Support basic photography, videography and editing for programme documentation and publicity.
  • Create digital forms, QR codes and registration links to support programme administration and communication.
  1. Essential Skills
  • Proficient in Microsoft Office and Google Workspace, including Excel/Sheets, PowerPoint/Slides, Word/Docs and Forms.
  • Competent in data management and analysis, including maintaining trackers, organising data and preparing simple dashboards and reports.
  • Able to use digital and collaboration tools for programme administration, registration, file management and communications.
  • Comfortable learning and using new digital systems and productivity tools as required.
