Pyp Coordinator
JOB PURPOSE
The Assistant School Coordinator supports the Head of School and PYP Coordinator in ensuring high standards of academic delivery, curriculum alignment, operational efficiency, and cross-school collaboration. The role combines continued classroom teaching during the morning with afternoon leadership and coordination responsibilities, with a strong focus on curriculum alignment, programme monitoring, reporting systems, and after-school programme oversight. This is a developmental role designed to prepare the post-holder for higher leadership responsibilities within the school.
KEY RESPONSIBILITIES
Teaching Responsibilities
- Facilitate the school's public speaking programme, ensuring consistent delivery and measurable student progress
- Design and facilitate engaging creative writing experiences that build students' narrative, descriptive, and expressive writing skills, ensuring consistent progress and high standards across all assigned classes.
- Maintain high-quality lesson planning that is fully aligned with the curriculum map and course completion documents
- Ensure timely assessment, constructive feedback, and accurate reporting in line with school standards
- Model best classroom practices and pedagogical approaches consistent with the school's academic framework
Curriculum Alignment and Academic Oversight
- Ensure weekly plans across all assigned year groups (Nursery to Year 6) are aligned with curriculum maps and course completion documents
- Monitor book completion and syllabus coverage across assigned year groups to ensure consistent academic progress
- Review lesson planning for consistency, quality, and appropriate progression, with a focus on Nursery and Reception across schools
- Support the alignment of all subject areas with the school's academic framework, including PYP structures where applicable
- Ensure the holistic and coherent nature of the curriculum map from Nursery to Year 6 across all core subjects, guaranteeing that learning is progressive, well-sequenced, and builds meaningfully from one year level to the next
- Ensure the meaningful and authentic integration of non-core subjects across the curriculum, so that specialist disciplines are connected purposefully to the wider Programme of Inquiry rather than delivered in isolation.
Curriculum and Assessment
- Support teachers in designing meaningful, concept-driven units of inquiry that reflect the five essential elements of the PYP: knowledge, concepts, skills, attitudes, and action
- Guide the development and implementation of formative and summative assessment practices that are aligned with IB standards and promote student agency and reflection
- Ensure that assessment data is used purposefully to inform teaching, support individual learners, and drive programme improvement
- Oversee the implementation and integrity of the PYP Exhibition, ensuring it reflects genuine student agency, sustained inquiry, and community engagement
- Ensure the transdisciplinary nature of the programme is authentically reflected across all units, with meaningful integration across subject areas and specialist disciplines
Programme Implementation and Quality Assurance
- Conduct regular classroom observations to monitor and ensure the quality of PYP programme implementation across all year groups
- Ensure that an inquiry-based approach to teaching and learning is consistently embedded across all classrooms
- Monitor and support teachers in actively reinforcing IB Learner Profile attributes and the promotion of international-mindedness in everyday classroom practice
- Facilitate and lead collaborative planning meetings, ensuring they are purposeful, structured, and outcome-driven
- Lead and coordinate whole-school collaborative planning sessions, ensuring vertical and horizontal alignment across the Programme of Inquiry
- Ensure the quality and consistency of unit planning documentation on Toddle across all year groups
- Plan and coordinate field trips and guest speaker programmes well in advance, ensuring each experience is purposefully linked to the current unit of inquiry, conceptually driven, and contributes meaningfully to the transdisciplinary nature of the PYP
- Plan, coordinate, and oversee IB-related events conducted in the school, ensuring they reflect the values and standards of the programme
- Continuously improve school events and initiatives to strengthen international mindedness and celebrate the diversity of the school community
Documentation and curriculum Management
- Maintain a thorough familiarity with all IB PYP documents and actively promote their understanding and consistent use among all staff members
- Ensure that copies of all relevant IB publications pertaining to the PYP are available and accessible to all staff at all times
- Establish and maintain a complete and organised record of all completed IB Primary Years Programme unit planners
- Publish and regularly update the school's Programme of Inquiry, ensuring it is accessible to all relevant stakeholders
- Lead the process of developing, reviewing, and refining the school's curriculum documents on a regular basis, including the Programme of Inquiry and scope and sequence documents
- Ensure that school policies are developed and maintained for teaching and learning, language, and assessment, in alignment with IB requirements
- Maintain a comprehensive archive of PYP records from one academic year to the next, including all documentation related to the PYP Exhibition
- Ensure that the IB document General Regulations: Primary Years Programme is supplied to all parents and legal guardians in accordance with IB requirements
- Ensure that all IB documentation and evidence of learning is accurately recorded, consistently maintained, and systematically organised on the school's shared drive
- Ensure the school's shared drive is kept fully up to date, clearly structured, and readily accessible to all relevant staff at all times
Toddle Platform Management
- Ensure all teachers receive the Toddle training required to use the platform effectively and confidently
- Monitor and support the effective and consistent use of Toddle by all teaching staff across the school
- Create and manage report cards across schools through the Toddle platform, ensuring accuracy, consistency, and timely completion
Administrative and Operational Support
- Support oversight of the school's homework systems, ensuring consistency and alignment with academic expectations
- Monitor book checks and corrections as a quality control measure across assigned classes
- Oversee and maintain the curriculum documentation flow: Curriculum Map → Course Completion Document → Weekly Plans
- Assist in monitoring operational compliance with school policies and procedures
- Support data tracking related to academic performance, programme implementation, and reporting requirements
- Assist the Head of School with additional duties and responsibilities as required, demonstrating flexibility, professionalism, and a proactive approach to the operational and strategic needs of the school
Professional Development
- Ensure that all staff members are made aware of available professional development opportunities, both on and off campus
- Make informed recommendations regarding professional development opportunities that support programme quality and teacher growth
- Maintain accurate records of workshop attendance and school visits to ensure equality of opportunity, identify ongoing professional development needs, and complete all required authorisation and programme evaluation forms
- Assist individual teachers and planning teams in developing and documenting high-quality units of inquiry and individual student inquiries
- Support the teachers responsible for, and the students involved in, the PYP Exhibition in the final year of the programme, in accordance with IB Exhibition Guidelines
Communication and Community Engagement
- Ensure that all IB requirements concerning the implementation of the programme are fully understood and adhered to by all relevant staff
- Establish and maintain clear, effective systems for communication and collaboration among all staff members involved in delivering the programme
- Plan and conduct regular parent information sessions to build understanding of the IB PYP, inquiry-based learning, and how families can support their child's learning at home
- Publish relevant articles and updates pertaining to the programme in the school newsletter to keep the wider community informed and engaged
- Circulate all relevant information received from the IB Organisation to staff in a timely manner, ensuring all teachers and relevant staff are kept fully up to date with current developments in the programme
- Prepare and submit all documentation required for IB authorisation and evaluation processes accurately and within required deadlines
- Respond promptly and accurately to all requests for information from the IB, including questionnaires, surveys, and data requests
- Serve as the primary liaison between the school and the International Baccalaureate Organisation on all matters relating to the PYP
REQUIREMENTS
- Bachelor's degree in Education or a related field. A master's degree is an advantage.
- Valid teaching qualification and relevant professional certifications.
- Demonstrated experience teaching within the IB framework, with recognized IB training or certifications.
- Minimum of 8-10 years of successful teaching experience, preferably across multiple reputable international schools.
- Evidence of career stability and professional commitment, with reasonable tenure in previous positions.
- Excellent spoken and written English with outstanding communication and interpersonal skills.
- Proven ability to build positive relationships with students, parents, colleagues, and school leadership.
- Strong classroom management and student engagement skills.
