ADMINISTRATION MANAGER
About the Role We are looking for an organized, proactive, and detail-oriented Administration Manager to lead and streamline our company’s daily administrative operations. In this role, you will oversee office administration, establish efficient workflow processes, coordinate cross-departmental operations, and support key corporate compliance, procurement, and vendor management functions to ensure overall business efficiency. Key Roles & Responsibilities Office Operations & Workflow Management: Plan, direct, and oversee daily administrative workflows, office facilities, and support services to maintain a seamless working environment.
Develop, implement, and review administrative standard operating procedures (SOPs) and company policies to enhance operational efficiency.
Manage documentation, centralized record-keeping systems, corporate filing, and data confidentiality in accordance with organizational guidelines.
Vendor, Facility & Procurement Management: Oversee office facility maintenance, lease agreements, utilities, and equipment upkeep.
Supervise office procurement, including purchasing supplies, stationery, equipment, and administrative services, ensuring cost-effectiveness and budget compliance.
Manage vendor relationships, negotiate service contracts, and evaluate vendor performance.
Corporate Compliance & Cross-Functional Support: Liaise with internal stakeholders, external vendors, and regulatory bodies to ensure corporate and statutory compliance.
Assist management with the preparation of internal reports, administrative budgets, presentations, and meeting coordination.
Support basic HR administrative coordination, onboarding documentation, and license renewal processes where required.
Team Leadership & Supervision: Guide, mentor, and supervise administrative executives and support staff, fostering teamwork and professional accountability.
Evaluate team workload, assign administrative duties, and monitor deliverable timelines.
Job Requirements Experience: Minimum 3 to 5 years of proven experience in office administration or business operations, with at least 1 to 2 years in a supervisory or managerial capacity.
Demonstrated track record in managing administrative budgets, office operations, and vendor contracts.
Qualifications: Diploma or Bachelor’s Degree in Business Administration, Management, Human Resources, or a related field (equivalent practical experience will also be considered).
Skills & Competencies: Strong organizational, problem-solving, and multitasking abilities with high attention to detail.
Excellent written and verbal communication and interpersonal skills to engage stakeholders across all levels.
Proficiency in office productivity tools (Microsoft Office / Google Workspace) and familiar with administrative enterprise software.
High degree of integrity, discretion, and reliability when handling confidential business information.
