We are looking for a proactive and detail-oriented Finance Executive to manage the day-to-day finance and accounting activities of our company and all entities under the parent company. You will maintain accurate financial records, manage collections and payments, prepare financial reports and forecasts, and keep each entity’s accounts organised and up to date. The ideal candidate takes ownership, adapts to changing business needs, and actively uses technology to improve efficiency and accuracy. Job Responsibilities:
- Full-set accounting and bookkeeping
Maintain a complete and accurate set of accounts for each entity, including the general ledger, accounts receivable and accounts payable. Record daily sales, purchases, receipts, payments, expenses and other financial transactions under the correct entity and account. Prepare and post journal entries, including accruals, prepayments, depreciation and necessary adjustments. Maintain fixed asset registers and supporting accounting schedules. Reconcile bank accounts, credit cards, payment platforms, petty cash, and customer and supplier balances. Investigate discrepancies, resolve unmatched transactions and ensure all balances are supported by proper records. Complete month-end and year-end closing within agreed deadlines.
- Customer invoicing, collections and ageing
Issue accurate customer invoices, credit notes and statements of account promptly. Track incoming payments and allocate receipts to the correct invoices. Follow up on outstanding invoices and overdue payments professionally and consistently. Maintain accounts receivable ageing reports and provide regular updates on collection progress. Resolve billing discrepancies with customers and internal teams. Escalate overdue accounts, disputed invoices and potential bad debts to management.
- Supplier payments and expense management
Verify supplier invoices against supporting documents and required approvals. Prepare payment schedules and process approved payments accurately and on time. Maintain accounts payable ageing reports and monitor upcoming payment obligations. Reconcile supplier statements and resolve discrepancies. Review staff expense claims, reimbursements and petty cash transactions. Check for duplicate invoices, incorrect charges and unsupported expenses.
- Financial reporting, budgeting and forecasting
Prepare monthly management accounts, including profit and loss statements, balance sheets and cash flow reports. Maintain revenue forecasts using contracts, recurring income, business pipeline information and input from relevant teams. Prepare cash flow forecasts covering expected collections, payments and funding requirements. Support annual budgeting and monitor actual results against budgets and forecasts. Explain significant variances and highlight cost increases, margin changes and financial risks. Provide clear financial information to support management decisions.
- Finance coordination across group entities
Manage accounting records and finance workflows across the company and its subsidiaries or related entities. Record and reconcile intercompany transactions, balances, loans and shared expenses. Ensure income and expenses are allocated to the correct entities using appropriate supporting records. Prepare combined group reporting and support consolidation where required. Maintain consistent accounting processes, reporting schedules and documentation standards across the group.
- Documentation, compliance and external coordination
Maintain organised physical and digital filing systems for invoices, receipts, payment records, bank statements, contracts and other finance documents. Ensure transactions have complete supporting documents and a clear audit trail. Maintain a calendar of financial reporting, tax and statutory deadlines. Prepare supporting schedules and coordinate applicable tax and GST submissions with appointed advisers. Liaise with external accountants, auditors, tax agents, banks and corporate secretaries as required. Support annual audits and respond promptly to requests for financial information. Protect confidential financial information and maintain appropriate access to records.
- Process improvement and technology adoption
Identify opportunities to simplify finance processes, reduce manual work and improve reporting accuracy. Use accounting software, spreadsheets, automation and AI-assisted tools where appropriate. Validate outputs from automated or AI-assisted processes and protect confidential company information. Develop and maintain practical finance procedures, checklists and reporting templates. Take on other finance-related responsibilities reasonably required across the group. Period: Permanent Working Hours: Mon to Fri: 9am – 6pm (Flexible WFH arrangement available after probation) Salary: Up to $4,000 + PB Location: Gambas Crescent Job Requirements: Diploma, degree or relevant professional qualification in Accounting, Finance or a related discipline. Chartered Accountant with active professional membership, or currently pursuing a recognised professional accountancy qualification such as CA or ACCA. Experience managing accounts for multiple entities. Experience with intercompany accounting, group reporting, budgeting and forecasting. Demonstrated experience improving finance processes through technology or automation. Relevant hands-on experience in bookkeeping, full-set accounting and financial reporting. Sound understanding of reconciliations, journal entries, month-end closing, receivables, payables and cash flow management. Proficiency in accounting software and Microsoft Excel or Google Sheets. Comfortable managing multiple entities, competing priorities and reporting deadlines. Flexible and adaptable, with a willingness to learn new systems and improve existing ways of working. Open to using AI, automation and other technologies thoughtfully and responsibly. Strong attention to detail, good organisational skills and a high level of integrity. Confident communicating with customers, suppliers, colleagues and external advisers. Able to work independently, follow through on outstanding matters and raise issues early.
