Your tasks

Business Operations & Internal Systems

  • Own the day-to-day internal operations of the business, ensuring all systems, processes, and workflows run efficiently.
  • Oversee and improve existing admin systems. An admin staff member already handles execution, but you are responsible for standards, oversight, and results.
  • Identify operational bottlenecks and implement solutions that improve efficiency, quality, and output.
  • Maintain and enforce standard operating procedures (SOPs) across the business.

People Leadership & Accountability

  • Hold staff accountable to deadlines, quality standards, and role expectations.
  • Set clear performance expectations, track deliverables, and follow up consistently.
  • Conduct regular check-ins and performance reviews, addressing gaps directly and constructively.
  • Have the authority to terminate staff where necessary, after discussing with and getting approval from the founder.
  • Build a culture of ownership, discipline, and excellence across the team.

Team Oversight (Community Engagement & Social Media)

  • Supervise the staff member handling community engagement, ensuring members are responded to promptly, professionally, and in line with brand voice.
  • Oversee the social media team, reviewing content, scheduling, and output to ensure everything meets the required standard before it goes live.
  • Coordinate with designers, video editors, and other freelancers to ensure deliverables are on time and on brand.
  • Step in to correct underperformance quickly and coach team members toward improvement.

Process, Reporting & Compliance

  • Track and report on key operational metrics (output quality, turnaround times, team performance, engagement levels).
  • Ensure compliance with relevant regulations for digital products and online education.
  • Manage vendor relationships and oversee basic HR functions, including onboarding, role documentation, and staff records.

Requirements

  • Bachelor's degree in Business Administration, Management, Operations, Marketing, or a related field.
  • Minimum of 3-5 years in business operations, operations management, or team leadership, preferably within the online education, fintech, or financial services sector.
  • Proven experience managing staff or teams, including holding people accountable, handling underperformance, and making tough staffing decisions.
  • Strong proficiency with project management tools (Asana, Trello, ClickUp, or Notion), CRM software like GoHighLevel, and communication tools. Familiarity with course platforms and email marketing tools is a plus.
  • A strong understanding of personal finance, investing, or wealth management concepts is an advantage.
  • Excellent written and verbal communication in English. Able to give clear, direct feedback and communicate complex concepts simply.
  • Must own and maintain the required equipment to perform the role effectively. This includes a reliable laptop, a smartphone, and access to a stable, high-speed internet connection with a backup option in case of outages.
  • A quiet, professional space suitable for calls, virtual meetings, and focused work.
  • Exceptional organizational skills, strong problem-solving ability, a high degree of discretion and confidentiality, and a genuine internal drive for excellence.
