Job Responsibilities

  • Coordinate daily project activities and administrative matters for a large-scale hospital construction project.
  • Liaise with consultants, contractors, subcontractors, suppliers and internal project teams to facilitate smooth project execution.
  • Coordinate project meetings, site meetings and other project-related activities.
  • Prepare meeting minutes, reports, schedules and other project documentation.
  • Follow up on project submissions, approvals, inspections and outstanding matters.
  • Assist in coordinating drawings, technical documents, material submissions and other project information.
  • Monitor the status of project activities and follow up with relevant parties to meet project schedules.
  • Maintain proper records of project correspondence, submissions, approvals and other documentation.
  • Assist in coordinating site activities and resolving day-to-day coordination issues.
  • Communicate project requirements and follow up on action items with relevant parties.
  • Assist the project team in tracking work progress, deadlines and deliverables.
  • Coordinate with different disciplines and departments to ensure timely flow of project information.
  • Support the Project Manager / Project Director in general project coordination and administrative matters.
  • Ensure project documentation is properly maintained and updated.
  • Perform other project-related duties as assigned.

Job Requirements

  • Diploma or Degree in Construction, Building, Engineering, Architecture, Project Management or a related discipline.
  • Minimum 2–3 years of relevant experience in construction or project coordination.
  • Experience in hospital, healthcare, institutional or large-scale building projects will be an advantage.
  • Experience working with main contractors, consultants or subcontractors is preferred.
  • Good understanding of construction project coordination and documentation.
  • Good organisational and time-management skills.
  • Proficient in Microsoft Office, particularly Excel, Word and PowerPoint.
  • Good communication and interpersonal skills.
  • Able to coordinate effectively with multiple stakeholders.
  • Detail-oriented, organised and able to work under project deadlines.
  • Able to work independently as well as part of a multidisciplinary project team.
