Account Manager
The Accounts Manager is responsible for overseeing the Company's accounting, accounts payable, payroll, and related financial administration functions. The role also manages key HR administrative matters, including employee payroll, leave administration, make-up pay, tax matters, and employee onboarding. In addition, the position oversees project-related insurance, WICA coverage, performance bonds, and other financial and administrative requirements. The Accounts Manager will supervise, coach, and guide the Senior Accounts Executive and Accounts Executive to ensure the smooth and effective operation of the overall Accounts Department. Key Responsibilities Accounting & Financial Management Oversee the Company's day-to-day accounting operations and maintain accurate and timely financial records.
Manage Accounts Payable (AP), including invoice verification, payment processing, supplier reconciliation, and payment scheduling.
Monitor outstanding payments and ensure timely settlement of supplier and other business obligations.
Prepare accounting schedules, reports, and supporting documentation for management review and audit.
Liaise with external accountants, auditors, banks, suppliers, and other financial stakeholders as required.
Ensure accounting processes comply with company policies and applicable statutory requirements.
Project Insurance & Financial Administration Manage project-related insurance requirements, including Work Injury Compensation Act (WICA) insurance and other project insurance policies.
Coordinate the application, renewal, and administration of performance bonds and other project-related guarantees.
Maintain accurate records of insurance policies, bonds, premiums, expiry dates, and supporting documentation.
Monitor renewal and expiry dates to ensure continuous coverage and timely submission of required documents.
Liaise with clients, insurers, banks, and project teams on insurance, bonds, and other project financial requirements.
Payroll & Human Resources Administration Manage monthly payroll processing, including salaries, allowances, deductions, overtime, and other employee payments.
Administer employee leave records and ensure leave balances and payroll adjustments are accurately maintained.
Process make-up pay and other applicable employee claims or government-supported payroll matters.
Handle employee tax-related administration, including preparation and submission of relevant tax information and annual reporting requirements.
Maintain accurate and confidential employee records relating to payroll, leave, benefits, and statutory requirements.
Coordinate with HR and employees to resolve payroll, leave, and salary-related queries.
Employee Onboarding & Infotech Coordinate the onboarding of new employees and ensure all required employment and payroll information is properly documented.
Ensure payroll, leave, and other employee records are updated accurately and promptly.
Coordinate with relevant departments to ensure new employees are properly registered and set up within the Company's systems.
Team Leadership & Coaching Supervise and provide day-to-day guidance to the Senior Accounts Executive and Accounts Executive in carrying out accounting and administrative functions.
Coach and develop team members to strengthen their accounting knowledge, technical capabilities, and understanding of company processes.
Allocate responsibilities and monitor workload to ensure timely and accurate completion of departmental tasks.
Review work performed by team members and provide constructive feedback to improve accuracy, efficiency, and accountability.
Establish clear work processes and ensure consistent adherence to accounting policies, procedures, and internal controls.
Identify training and development needs within the Accounts team and provide appropriate coaching and support.
Foster a collaborative and professional working environment within the Accounts Department.
Act as the escalation point for accounting, payroll, AP, insurance, and administrative matters handled by the team.
Ensure adequate cross-training and knowledge sharing within the department to maintain operational continuity.
Compliance & Administration Maintain proper filing and documentation for accounting, payroll, insurance, bonds, and HR records.
Safeguard confidential financial and employee information and ensure appropriate access controls.
Monitor statutory deadlines, insurance renewals, bond expiries, payroll requirements, and other key administrative dates.
Assist management with financial, payroll, HR, and administrative matters as required.
Review and improve accounting and HR administration processes to enhance accuracy, efficiency, and compliance.
Requirements Diploma or Degree in Accounting, Finance, Business Administration, or a related discipline.
At least 5 years of relevant accounting experience, with prior supervisory or team leadership experience preferred.
Strong knowledge of accounts payable, payroll, statutory requirements, and general accounting processes.
Experience in handling project insurance, WICA, performance bonds, or construction-related financial administration is an advantage.
Familiarity with MYOB and Infotech or other payroll/HR management systems is preferred.
Proficient in Microsoft Excel and accounting software.
Strong organisational, analytical, and problem-solving skills.
Good communication and interpersonal skills with the ability to coach and develop junior team members.
High level of integrity and discretion when handling confidential financial and employee information.
Able to work independently while effectively managing and supervising the Accounts team.
