Workday Intern (Archivist)

SoftConstruct is on a search for a new player to join our team.
Sort, re-order, and systematically organize physical personnel files prior to scanning to ensure uniform sequence and flow
Operate document scanning hardware and software to convert paper HR records into high-quality digital files per company naming conventions and directory structures
Audit document details (First Name, Last Name, Middle Name, Dates, Employee IDs) line-by-line, identifying and rectifying errors before final digitization
Inspect physical files to identify missing required records, missing signatures, or missing pages
Coordinate with internal team members to locate and source missing documentation to complete physical files prior to digital upload
Ensure digitized documents match current Workday employee profiles for clean batch uploading and electronic document management
Adhere strictly to privacy policies and data protection regulations regarding sensitive employee personal data
Currently pursuing or recently completed a Bachelor’s degree in Human Resources, Business Administration, Records Management, Information Systems, or a related field
Meticulous eye for detail with a low error rate when reviewing names, dates, and identification numbers
Strong file-management skills and the ability to maintain structured order across large volumes of physical and digital records
Familiarity with basic office technology (scanners, PDFs, file managers, Microsoft Excel/Word). Basic exposure to or familiarity with Workday or other HRIS tools is a plus
High level of discretion and standard of ethics when handling confidential employee documentation
Clear written and verbal communication skills to follow up on missing paperwork and report audit findings
