Operations Executive
Job Role: The Operations Executive is responsible for overseeing the day-to-day operational and administrative functions of the Red Cross Home for the Disabled. The incumbent ensures the smooth operation of facilities, building services, asset management, regulatory compliance, vendor performance, workplace safety and operational support to enable the delivery of quality care services. The role works closely with internal stakeholders, external vendors and building management to maintain a safe, efficient and well-managed environment for residents, staff and visitors Job Responsibilities: Operations Coordinate and oversee the day-to-day operational requirements of the Home.
Manage inventory records of donated items, consumables, and fixed assets.
Verify goods received against delivery orders, POs, and invoices, liaising with vendors to resolve discrepancies.
Administer the procurement process, including raising PRs, POs, quotations, and invoice verification.
Monitor and coordinate the renewal of operational licences, permits, insurance policies, and service contracts.
Liaise with building management on maintenance, repairs, housekeeping, pest control, landscaping, and facilities.
Coordinate maintenance works, ensure timely rectification of operational issues, and monitor vendor performance.
Support annual budgeting and expenditure tracking for operational and facilities-related expenses.
Administration Maintain proper filing of operational records, licences, maintenance reports, contracts, and SOPs.
Administer petty cash reimbursement, operational expense claims, and office inventory replenishment.
Prepare reports, statistics, and operational updates for management.
Vendor & Stakeholder Management Serve as the primary liaison with contractors, suppliers, service providers, and building management.
Work closely with Finance on invoice processing, budget utilisation, and operational payments.
Partner with Social Work, Nursing, Therapy, and other departments to support operational requirements.
Assist in receiving visitors, contractors, auditors, and external stakeholders.
Quality Improvement Support organisational audits, accreditation exercises, and regulatory inspections.
Review operational processes and recommend improvements to enhance efficiency.
Participate in risk assessments, emergency response planning, and operational contingency planning.
Monitor operational KPIs and follow up on corrective actions.
Any Other Duties Coordinate logistical support, venue setup, and vendor coordination for events and resident programmes.
Support cross-functional initiatives undertaken by the Singapore Red Cross Society and the Home.
Perform any other duties as assigned by the Reporting Officer. Qualifications and Experience
- Diploma in Business Administration, Facilities Management, Operations Management or a related discipline.
- At least 2 to 3 years of relevant experience in operations, facilities management or administration.
- Experience in healthcare, social service or residential care settings will be an advantage.

- Good communication skills (written and verbal) with good command of English

- Ability to speak a few languages or dialects would be added advantage
- Good interpersonal skills with the ability to relate well to people of all levels
