We are currently recruiting for a Service Administrator to join a busy and established Service Department.

This is a varied administrative role where you will provide essential support to the Service Manager, engineers and wider depot team. You will be responsible for keeping the day-to-day service administration running smoothly, while also providing a high level of customer service to both internal and external customers.

The ideal candidate will be organised, proactive and confident working in a fast-paced environment where priorities can change throughout the day. You will have excellent attention to detail, strong communication skills and be comfortable taking ownership of your workload.

Key Responsibilities

  • Providing day-to-day administrative support to the Service Manager, engineers and wider depot team.
  • Handling incoming telephone calls and customer enquiries, ensuring these are dealt with promptly and professionally.
  • Processing customer account enquiries, payments and related documentation.
  • Preparing and processing service documentation, checking work orders and maintaining accurate records.
  • Managing warranty and product improvement claims from submission through to completion.
  • Coordinating warranty parts returns where required.
  • Maintaining accurate servicing and MOT records for depot vehicles.
  • Supporting time and attendance administration, including holidays, sickness and absence records.
  • Reviewing engineer time and job allocations to ensure records are accurate and up to date.
  • Coordinating the administration of repairs, maintenance and invoicing, including customer collections and deliveries.
  • Managing petty cash, banking and monthly reconciliations.
  • Ordering stationery and general office supplies.
  • Carrying out routine depot checks and reporting any issues appropriately.
  • Providing general administrative support to the wider team as required.

About You

We are looking for someone who is:

  • Highly organised with excellent attention to detail.
  • Confident managing multiple tasks and competing priorities.
  • Professional, approachable and customer-focused.
  • Comfortable communicating with customers and colleagues by telephone, email and in person.
  • Confident with financial administration, payments and reconciliations.
  • Experienced in a general administration role with good IT skills.
  • Proactive and able to work independently while also supporting the wider team.
  • Reliable, flexible and willing to take ownership of tasks through to completion.

Previous experience within an agricultural, engineering, vehicle, machinery or service environment would be advantageous, but is not essential.
