Procurement Coordinator / Executive – Purchasing & Administrative Job Description As a Procurement Coordinator / Executive – Purchasing & Administrative , you will be responsible for supporting the company's purchasing activities and ensuring the smooth and efficient coordination of procurement and administrative operations. You will work closely with suppliers, internal departments, logistics partners, and management to ensure that purchasing requirements are properly coordinated, orders are processed accurately, and relevant documentation and records are maintained. Your duties will include, but are not limited to: Coordinate and manage purchasing activities, including sourcing, quotations, purchase orders, and order follow-ups.
Liaise with local and overseas suppliers to obtain quotations, confirm pricing, availability, lead times, payment terms, and delivery arrangements.
Follow up closely with suppliers on purchase orders and ensure timely delivery of goods.
Monitor outstanding purchase orders and provide updates to management on order status and delivery schedules.
Compare supplier quotations and assist in evaluating pricing, terms, and overall purchasing costs.
Prepare and maintain purchase orders, supplier invoices, delivery orders, and other procurement-related documents.
Verify supplier invoices and supporting documents against purchase orders and delivery records before submission for payment.
Coordinate with suppliers, warehouse, logistics providers, and internal teams regarding deliveries, discrepancies, shortages, and other purchasing-related matters.
Maintain accurate and up-to-date records of suppliers, purchases, quotations, purchase orders, and related documentation.
Assist with inventory monitoring and coordinate with relevant parties to ensure sufficient stock availability.
Handle general administrative duties, including filing, data entry, document preparation, and maintaining proper records.
Assist with correspondence, scheduling, and other administrative matters as required.
Support management in ad-hoc procurement, administrative, and operational tasks.
Identify and follow up on procurement or administrative issues promptly and assist in resolving them efficiently.
Ensure procurement documentation and administrative records are properly maintained and organised.
Requirements Diploma or relevant qualification in Procurement, Business Administration, Supply Chain, Logistics, or a related field is preferred.
Proven experience in procurement, purchasing, administrative coordination, or a similar role.
Experience in handling suppliers, quotations, purchase orders, and invoices.
Good organisational and time-management skills, with the ability to prioritise multiple tasks and meet deadlines.
Good communication and interpersonal skills, with the ability to liaise effectively with suppliers and internal teams.
Proficient in Microsoft Office, particularly Microsoft Excel and Word.
Strong attention to detail and accuracy in documentation and data entry.
Ability to work independently as well as effectively as part of a team.
Responsible, organised, proactive, and willing to learn.
Experience in international purchasing, import/export documentation, or dealing with overseas suppliers will be an advantage.
Knowledge of procurement and shipping processes is an added advantage.
