CEO Secretary
The CEO Secretary provides high-level administrative and organizational support to the Chief Executive Officer, ensuring the smooth and efficient operation of the CEO’s office. The role is responsible for managing schedules, correspondence, meetings, documents, and communication while maintaining a high level of confidentiality and professionalism.
Manage and organize the CEO’s daily calendar, appointments, meetings, and commitments.
Schedule and coordinate internal and external meetings on behalf of the CEO.
Arrange meetings with senior management, customers, suppliers, business partners, and other stakeholders.
Prepare meeting agendas, documents, presentations, and other materials required by the CEO.
Attend meetings when required and prepare accurate minutes and follow-up action points.
Monitor and follow up on pending actions and assignments requested by the CEO.
Handle incoming and outgoing correspondence, emails, letters, and official documents.
Screen and prioritize phone calls, emails, and requests directed to the CEO.
Maintain organized and confidential files, records, contracts, and documents.
Ensure the timely submission and circulation of documents requiring the CEO’s review or approval.
Coordinate communication between the CEO and different departments within the company.
Prepare reports, presentations, summaries, and business documents as requested.
Arrange travel, accommodation, transportation, and other business travel requirements for the CEO.
Coordinate VIP visits, executive meetings, and special events when required.
Maintain strict confidentiality regarding company information, executive matters, employees, customers, and business activities.
Follow up with relevant departments to ensure that CEO instructions and decisions are implemented on time.
Support the CEO with day-to-day administrative and organizational requirements.
Perform any other duties assigned by the CEO.
Qualifications Bachelor’s degree in Business Administration, Management, or a related field.
Minimum 3–5 years of experience as a Secretary, Executive Secretary, Personal Assistant, or similar role.
Previous experience supporting a CEO, Managing Director, General Manager, or senior executive is preferred.
Excellent command of English, both written and spoken.
Excellent knowledge of Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
