Import Logistics Specialist
Job Description Job Summary The Logistics Specialist is responsible for coordinating and monitoring logistics operations related to procurement activities, including shipment planning, transportation, customs clearance coordination, and delivery scheduling. The role ensures that purchased goods are delivered efficiently, cost-effectively, and on time while complying with company policies and regulatory requirements.
Key Responsibilities
- Logistics Coordination
Coordinate inbound logistics activities related to procurement orders.
Plan and track shipments from suppliers to company warehouses or project sites.
Communicate with suppliers, freight forwarders, and transport companies to arrange shipments.
Monitor shipment schedules and ensure timely delivery.
- Documentation & Compliance
Prepare and review shipping documentation such as:
Purchase Orders
Commercial Invoices
Packing Lists
Bill of Lading
Delivery Notes
Ensure logistics documentation complies with customs and regulatory requirements.
Maintain proper filing and documentation for all logistics transactions.
- Shipment Tracking
Track shipments and update internal stakeholders regarding shipment status.
Resolve shipping delays or logistics issues by coordinating with suppliers and freight providers.
Maintain accurate logistics tracking records.
- Coordination with Internal Departments
Coordinate with:
Procurement team
Warehouse team
Finance department
Suppliers and freight agents
Ensure goods are delivered according to procurement schedules and operational needs.
- Cost Control
Compare freight quotations from logistics service providers.
Assist in negotiating transportation and logistics costs.
Monitor logistics expenses to ensure cost efficiency.
- Customs & Import Coordination (if applicable)
Coordinate customs clearance with clearing agents.
Ensure compliance with import regulations and documentation requirements.
Follow up on customs procedures until shipment release.
- Reporting
Prepare periodic logistics reports including:
Shipment status reports
Delivery performance
Logistics cost reports
Maintain logistics KPIs and tracking systems.
Job Requirements Qualifications Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field .
2–3 years of experience in logistics, supply chain, or procurement support.
Experience dealing with freight forwarders and shipping documentation is preferred.
Proficiency in Microsoft Office (Excel, Word) .
Strong organizational and coordination skills .
Good communication and negotiation abilities .
Ability to work under pressure and meet deadlines .
Experience with ERP systems (SAP, Oracle, or similar) is a plus.
