Office Manager
3. Role Summary
The Office Manager will be responsible for the smooth running of the head office, managing administrative work, documentation, and communication between management, project sites, the warehouse, clients, and suppliers. The role requires strong organization, attention to detail, and the ability to follow up on many tasks at once.
4. Key Responsibilities
- Manage daily office operations, administration, and office staff.
- Organize and maintain company files, contracts, and records (paper and digital).
- Track and file delivery notes, invoices, and approvals from project sites and the warehouse.
- Handle company correspondence, emails, and phone calls with clients, suppliers, and consultants.
- Follow up on pending items, approvals, and payments with the relevant departments.
- Prepare reports, letters, quotations requests, and meeting minutes.
- Manage the General Manager's calendar, meetings, and appointments.
- Coordinate purchasing of office supplies and support procurement paperwork.
- Manage petty cash and support the accounts team with basic financial records.
- Support HR administration: attendance, employee files, and onboarding paperwork.
- Arrange staff travel, transportation, and logistics for site visits.
- Bachelor's degree in Business Administration or a related field.
- Minimum [3–5] years of experience as an Office Manager, Executive Assistant, or similar role.
- Experience in construction, equipment, or industrial companies is a strong plus.
- Excellent skills in Microsoft Office (Word, Excel, Outlook).
- Strong organization, follow-up, and time-management skills.
