Legal Support Specialist - U.S Law Firm
We’re seeking a detail-oriented and highly organized Legal Support Specialist to join our team. The Legal Support Specialist will manage the records retrieval process for the Unit they are supporting, ensuring that all stages in the Subpoena process are completed in a timely manner and communicating with the assigned team on the case.
Essential Functions/Responsibilities
- Review and analyze claim file and/or demand to search and obtain appropriate addresses in preparation of drafting Notice of Production From Non-Party and Subpoenas.
- Review emails from Attorneys and LA’s regarding requests for medical & billing records from plaintiff’s providers, and on case-by-case basis requests to insurance companies, employers and education institutions, without yet filing the NPNP (Subpoena do not get filed)
- File Notice of Production From Non-Party (“NPNP”) via the Florida E-Filing Portal.
- Ensure to diary/add To-Do of 10-day deadline from the date of filing NPNP for parties to file objections, if any.
- Upon E-Filing NPNP, prepare email to opposing parties attaching a copy of E-Filed NPNP and proposed Subpoenas, requesting parties to waive ten (10) day waiting period for issuance of Subpoenas.
- Complete the “Record Request” page in the case management system
- If all parties agree to waive 10-day waiting period and/or 10-day period has lapsed, prepare and file Certificate of Non-Objection(“CNO”).
- Upon E-Filing CNO, process legal documents (ie., NPNP, Subpoena, CNO and Affidavit of Records Certification) via Quadient Impress mailing distribution website.
- Create To-Do with deadline for when records from providers are said due. Track status of authorizations and/or subpoenas by updating the status of the Record Request page
- Prepare and send out authorizations where required.
- Follow up with subject of authorizations/subpoenas for updates on outstanding requests.
- Email past due responses from Plaintiff’s providers with Attorneys and LA’s to designated file.
- Notify and forward incoming invoices received from providers to LA on file for submission of payment.
- Review daily mail as some providers comply with Subpoenas by sending copies of records via regular mail.
- Communicate with Attorneys and LA’s on file regarding non-compliant requests and schedule Records Custodian depositions.
Required Education and Experience:
- Minimum equivalent of a High School Diploma.
- General Legal knowledge preferred but not required.
