Contract Type Temporary - Maternity Leave expected until April 2027 or beyond
Hours Part-Time - 8am to 1pm, Monday to Friday Term Time Only
Job Purpose
We are seeking an organised, professional and proactive Temporary School Administrator to provide administrative support within a busy school office. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the school, acting as a first point of contact for pupils, parents, staff and visitors while maintaining high standards of administration and customer service.
This role would suit an experienced administrator who can quickly adapt to new systems and procedures and work effectively in a fast-paced educational environment.
Key Responsibilities
Administrative Support
- Provide efficient administrative support to the Headteacher, Senior Leadership Team and school staff.
- Answer telephone calls, respond to emails and manage enquiries promptly and professionally.
- Prepare correspondence, reports, spreadsheets and other documentation as required.
- Maintain accurate electronic and paper-based filing systems.
- Assist with managing diaries, arranging meetings and coordinating appointments.
Reception Duties
- Welcome visitors, parents, pupils and external agencies professionally.
- Ensure all visitors sign in and comply with safeguarding procedures.
- Manage the school's main reception area and provide excellent customer service.
Pupil and Attendance Administration
- Record, monitor and maintain pupil attendance data.
- Update pupil records and maintain information on the school's management information system.
- Support admissions, transfers and leaver processes as required.
- Produce attendance reports and other administrative documents.
General School Administration
- Support the administration of school trips, events and meetings.
- Assist with ordering resources and maintaining stock levels.
- Process incoming and outgoing post.
- Undertake data entry and maintain accurate school records.
Compliance and Safeguarding
- Handle confidential information sensitively and in accordance with GDPR requirements.
- Support safeguarding processes by maintaining accurate records and following school procedures.
- Adhere to all school policies and procedures relating to health and safety, safeguarding and confidentiality.
Person Specification
Essential Requirements
- Previous experience in an administrative, office or reception-based role.
- Excellent communication and interpersonal skills.
- Strong organisational skills and attention to detail.
- Competent in Microsoft Office applications including Word, Excel and Outlook.
- Ability to manage multiple tasks and prioritise workload effectively.
- Professional, reliable and adaptable approach to work.
Desirable Requirements
- Previous experience working within a school, academy or educational setting.
- Experience using school management systems such as Arbor, SIMS or Bromcom.
- Understanding of attendance, admissions or safeguarding administration.
