Front of House & Facilities Coordinator

Temporary Assignment | 8 Weeks | Immediate Start Location: Euston, London (Office-Based, 5 Days per Week) Hours: 11:00am - 19:00pm

The Role

We are seeking a professional, proactive and customer-focused Front of House & Facilities Coordinator to join a busy and dynamic office environment on an 8-week temporary assignment. Acting as the first point of contact for visitors, employees and stakeholders, you will play a key role in ensuring the smooth day-to-day running of the workplace whilst delivering an exceptional front-of-house experience.

This position would suit an organised individual with strong administrative and facilities coordination experience who enjoys working in a fast-paced environment and taking ownership of multiple responsibilities.

Key Responsibilities

Front of House & Workplace Experience

  • Meet and greet visitors, ensuring a professional and welcoming experience.
  • Manage visitor sign-in procedures and issue visitor passes.
  • Conduct office tours and visitor inductions where required.
  • Manage incoming calls and direct enquiries appropriately.
  • Coordinate meeting room bookings and monitor room usage.
  • Ensure reception, meeting rooms, kitchens and communal areas are maintained to a high standard.
  • Monitor office supplies, stationery and refreshment stock levels.
  • Carry out regular workplace inspections and report any issues.

Facilities Coordination

  • Manage facilities requests and ensure issues are resolved in a timely manner.
  • Coordinate contractor and supplier visits.
  • Assist with planned and reactive maintenance activities.
  • Escalate building-related issues where necessary.
  • Support health and safety procedures and workplace compliance activities.
  • Maintain records relating to workplace inspections and facilities services.

Administration & Reporting

  • Maintain accurate visitor logs and facilities records.
  • Produce regular reports and updates as required.
  • Manage shared inboxes and respond to enquiries efficiently.
  • Support general office administration and documentation.
  • Ensure records are organised and kept up to date.

Stakeholder Support

  • Build positive working relationships with staff, visitors, suppliers and contractors.
  • Provide excellent customer service and resolve queries professionally.
  • Support initiatives that improve workplace experience and operational efficiency.

Skills & Experience Required

  • Previous experience within Front of House, Reception, Facilities, Workplace Experience or Office Coordination roles.
  • Excellent customer service and communication skills.
  • Strong administration and organisational abilities.
  • Ability to manage multiple priorities and work independently.
  • Proficiency in Microsoft Office, including Outlook, Word and Excel.
  • High attention to detail and a professional approach.
  • Positive, proactive and flexible attitude.
  • Experience coordinating contractors, facilities services or office operations would be advantageous.
  • Understanding of health and safety procedures is desirable.
