Facilities and Operations Administrations needed

Location: Central London Job Type: Full-time Duration: 6 months

We are seeking an Administrative Support Officer to provide comprehensive administrative support to our Estates and Facilities Management Team. This role is crucial for the efficient operation of our department, ensuring all administrative tasks are handled with high standards of accuracy and professionalism.

Day-to-day of the role:

  • Provide administrative support to the Head of Facilities, Operations, and Head of Compliance, including diary management, meeting organisation, and document control.
  • Assist in the operational implementation of the Internal systems
  • Support the Commercial Business Development Manager in expanding our lettings portfolio through administrative and events support.
  • Oversee the department's building services portal (Freshdesk), ensuring efficient handling and response to enquiries and requests.
  • Manage compliance documentation, assist in obtaining quotes for works, and ensure timely processing of invoices and purchase orders.
  • Maintain high standards of confidentiality and discretion with all documents and information.
  • Review and improve administrative procedures to enhance the effectiveness and efficiency of services provided.
  • Assist in managing contracts, including contractor selection and the tendering process, ensuring compliance with DBS and safety checks.
  • Provide reception cover as required and oversee the school diary for accurate lettings bookings.

Required Skills & Qualifications:

  • Proven experience in an administrative support role, preferably within a facilities or estates management context.
  • Strong organisational skills with the ability to manage multiple tasks and maintain attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in MS Office and experience with database management systems such as Freshdesk.
  • Ability to handle confidential information with discretion.
  • Knowledge of health and safety regulations and a commitment to promoting equal opportunities.
