Job Purpose Human Resources Assistant

To act as the first line of contact either in person/ phone / email for the HR Department and provide high quality consistent advice, support and guidance to managers and employees on all HR related queries.

To administer transactional activities associated with the employee lifecycle across the whole authority within agreed procedures, standards and timescales.

Principal Accountabilities and Responsibilities Human Resources Assistant

Provide effective support, advice and guidance to employees and managers including school based staff on all aspects of human resources to include, recruitment and selection, time off work and leave, employee relations, terms and conditions of employment, and general enquiries. Resolve resolve query through own knowledge / research and escalate more complex queries to Team Manager.

Act as the first line of contact for the HR Service and provide an excellent customer service to all customers at every opportunity.

Administer end to end employee lifecycle transactional processes, including new starters, transfers, leavers etc for all employees and managers.

Administer and monitor the recruitment process including preparing vacancy packs, issuing of contractual documentation, Disclosure & Barring (DBS) checks, Education Workforce Council (EWC) checks, reference checks, Right to work in the UK (RTWIUK) checks and other joining instructions. .

Ensure weekly monitoring takes place with regards to safer recruitment checks to ensure that the Authority meets its corporate safeguarding responsibility. This will include requesting reference, qualification, RTWIUK, DBS and EWCdocumentation. Contact employee or manager to source information and escalate to H.R. Team Manager in accordance with the agreed process.

Ensure that all employee data is entered onto the i-Trent HR system/ EDRMS electronic filing system / Vision Time system in a timely, accurate and consistent manner.

Inform Payroll of any pay related transactions either via email or via the i-Trent electronic systems.

Constantly review HR processes and consider improvements maximising the use of existing systems.

Ensure adherence to policies, standards and agreed service processes.

Assist with maintain the HR intranet system, to include updating documentation; archiving and identifying improvements.

Attend employee relation meetings to take minutes as and when requested.

All new starters are required to undergo our standard safer recruitment checks; 2 satisfactory references covering 3 years employment, evidence of essential qualifications, evidence of Right to Work in the UK.
