Medical Operations & Administrative Associate 12 months contract

Job descriptions;

  • Provide end-to-end operational, administrative, and logistical support for local medical activities and hospital communications.
  • Coordinate advisory boards, investigator meetings, educational events, scientific exchanges, and other medical engagements, including invitations, logistics, contracting and on-site support if necessary.
  • Manage calendars and appointments; prepare agendas and meeting minutes; track and follow up on action items.
  • Create purchase orders, process accruals, and monitor invoices and payments in accordance with company policies and timelines.
  • Liaise with vendors, Procurement, Finance, and internal stakeholders; track event budgets against purchase orders and accruals; maintain complete, audit-ready records.
  • Prepare and submit travel expenses and claims through Concur on time, in line with travel and expense policies.
  • Support visiting colleagues with meeting-room bookings, audiovisual setup, visitor access, catering, and transport arrangements.
  • Maintain organized documentation and ensure adherence to standard operating procedures, Healthcare Professionals (HCP) engagement requirements, and applicable local regulations.
  • Use approved digital and AI-enabled tools responsibly to improve planning, tracking, document preparation, meeting follow-up, and routine administrative workflows, while maintaining accuracy, confidentiality, and human oversight.
  • Identify practical opportunities to simplify processes, improve visibility, and strengthen execution across the department operations

Job Requirements:

  • At least 1 year of experience in administrative role with end-to-end events management
  • Experience creating and coordinating events from concept to close-out, including planning, invitations, vendor management, logistics, budget tracking, documentation, and post-event follow-up.
  • Proficient in Microsoft 365 and the ability to learn procurement, finance, expense, and event-management systems.
  • Proactive and high attention to details.
