The successful candidate will be a trusted partner to the investment team, ensuring seamless day-to-day operations while helping to maintain a professional and efficient workplace.
About the responsibilities…
Executive Support
- Provide comprehensive administrative and secretarial support to selected investment professionals.
- Manage complex calendars, schedule meetings, and coordinate logistics across multiple stakeholders.
- Arrange domestic and international travel itineraries.
- Prepare and submit expense claims in a timely manner.
- Maintain contact databases and business records.
- Support the preparation of presentations, reports, and meeting materials as required.
Office Operations
- Welcome visitors and ensure meeting rooms are prepared to a professional standard.
- Manage office supplies, vendor relationships, and procurement activities.
- Coordinate facilities maintenance, building management matters, office repairs, and parking arrangements.
- Organise courier, mail, and delivery services.
- Provide support for office events, offsites, business continuity initiatives, and other administrative projects.
IT & Administrative Coordination
- Act as the primary liaison with external IT vendors and service providers.
- Provide first-level support for office equipment, meeting room technology, printers, and user access issues.
- Assist with onboarding activities, including IT and workstation setup for new employees.
- Maintain inventories of IT assets, licences, subscriptions, and equipment.
- Support documentation and record-keeping relating to technology systems and user access controls.
About the requirements…
- Minimum 5 years of Executive Assistant, Team Assistant, or similar administrative experience, preferably within private equity, investment management, financial services, or a professional services environment.
- Proven experience supporting senior executives in a fast-paced and professional setting.
- Diploma or Degree qualification.
- Strong organisational skills with the ability to manage multiple priorities and work independently.
- Service-oriented, proactive, and willing to go beyond day-to-day task execution.
- High level of discretion and professionalism when handling confidential information.
- Excellent interpersonal and communication skills, with a polished and professional presence.
- Collaborative team player who enjoys working in a supportive and collegial environment.
- Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Copilot.
- Comfortable with technology and capable of troubleshooting basic IT issues.
