Role Summary

Provide a professional first point of contact for employees and visitors. Responsible for managing reception duties, supporting daily office operations and general office administration. This role ensures dependable reception coverage and maintaining a welcoming, professional and well organised office environment.

Key Responsibilities

  • Act as the first point of contact for general office and workplace enquiries
  • Greet and welcome visitors at the office reception and direct them to the appropriate person, meeting room or office
  • Preparation of meeting rooms if needed, serve drinks to visitors and tidy meeting rooms after use
  • Receive, sort and distribute daily mail, deliveries and coordinate courier services
  • Manage meeting room bookings, support training setups and logistics for internal office events
  • Conduct daily checks of the reception area, main office, pantry, shared spaces and office equipment to ensure they are organised, welcoming and in good working conditions
  • Coordinate with building management, cleaners, vendors and technicians on maintenance servicing, repairs and access arrangements, and follow up until the work is completed
  • Provide updates on workplace conditions and maintain Excel or Google Drive records of office
  • Monitor and replenish office supplies and pantry stock, and maintain inventory records
  • Provide cafe pantry coverage when required
  • Support office safety and security procedures and serve as Fire Warden when appointed
  • Perform other ad-hoc office and facilities-related duties assigned from time to time

Requirements

  • High school diploma with prior receptionist or admin experience is preferred
  • Excellent verbal and written communication in English
  • Strong interpersonal skills with a customer-focused approach
  • Proficient in Microsoft Office or Google Workspace
  • Well-organised and meticulous, with the ability to multitask and work independently
  • Basic technical troubleshooting and vendor coordination skills
  • Professional appearance and a proactive attitude
  • Reliable, punctual, and team-oriented
  • Willingness to learn and adapt to new tasks and responsibilities
  • Basic knowledge of office safety and access control procedures

Job Details:

Employment: 12-month contract Location: Central Area Working hours: Monday to Friday: 8:30am to 5:30pm
