Personal Assistant & Event Coordinator Intern
Working Days: Monday – Saturday Working Hours: 8:30 AM – 5:00 PM Reports To: Director
About the Role We are looking for an energetic, outgoing, and highly organised Personal Assistant & Event Coordinator Intern to work directly with our Director. This is an exciting opportunity for someone who enjoys meeting new people, attending events, building professional connections, and working in a dynamic business environment. You will provide direct support to the Director while assisting with event planning, networking activities, business meetings, and daily operations. The ideal candidate is flexible, sociable, proactive, and comfortable taking initiative. This is an on-site position based in our Seminyak office, combining office responsibilities with external meetings, networking events, and social activities.
Key Responsibilities
- Personal Assistant to the Director
- Assist the Director with daily schedules, appointments, meetings, and reminders.
- Coordinate meetings, travel arrangements, bookings, and other business activities.
- Manage correspondence, follow-ups, and administrative tasks.
- Conduct research, prepare documents, and assist with presentations when required.
- Support the Director in coordinating daily activities and business priorities.
- Maintain confidentiality and handle sensitive business information professionally.
- Event Planning & Coordination
- Assist in planning, organising, and coordinating corporate events, networking events, business gatherings, and social functions.
- Coordinate with event organisers, venues, vendors, guests, and other stakeholders.
- Prepare event schedules, guest lists, checklists, and other event materials.
- Attend events and assist with registration, guest relations, event setup, and on-site coordination.
- Help ensure events run smoothly and handle unexpected changes when necessary.
- Assist with post-event follow-ups and relationship management.
- Networking & Relationship Building
- Accompany the Director to business meetings, networking events, social gatherings, and other professional functions when required.
- Help establish and maintain relationships with clients, business contacts, and potential partners.
- Communicate confidently and professionally with people from different backgrounds.
- Assist with following up on new contacts and maintaining a professional network.
- Represent the company professionally during events and external activities.
- Administrative & Operational Support
- Assist with general administrative tasks and daily office coordination.
- Help organise documents, schedules, and internal records.
- Follow up on pending tasks, bookings, and project deadlines.
- Support marketing, business development, and other company activities when needed.
- Take initiative in identifying tasks and helping improve day-to-day operations.
Requirements
- Final-year university students who have completed regular classes and are currently working on their thesis or final project are welcome to apply.
- Recent graduates are also encouraged to apply.
- Students with online or flexible study arrangements are welcome.
- Good command of spoken and written English is required. Candidates must be confident communicating in English in professional settings.
- Outgoing, sociable, and comfortable meeting new people.

- Willing and able to work on-site at our Seminyak office, Monday to Saturday, from 8:30 AM to 5:00 PM.
- Available to attend occasional events outside regular working hours when required.
- Must have a personal motorbike and a valid driving licence
Preferred Qualifications
- Background in Business, Hospitality, Event Management, Communications, Marketing, or a related field.
- Previous experience in event organising, student organisations, hospitality, or customer-facing roles.
- Experience in networking, public relations, or coordinating activities is an advantage.
