About the Position

Shibumi is looking for one person who can become the administrative backbone of our villa in Bali. This position holds three roles at once: daily finance, operational administration, and human resource management.

You will work directly alongside the Manager in Bali, and coordinate daily with the Finance team in Jakarta who handle bookkeeping and payments. This is not a desk-bound position — you will frequently go into the field, count stock, verify incoming goods, and speak with staff.

Responsibilities

Finance & Administration

  • Manage the villa's daily petty cash, including recording and accountability of expenditure proofs
  • Receive and verify guest payments (transfer, QRIS, card, cash), and deposit cash receipts to the bank no later than the next business day
  • Compile and send daily reports to the Jakarta office: occupancy rates, revenue, and expenses
  • Check the consistency of purchase documents — orders, proof of goods receipt, and invoices — before processing
  • Perform monthly stock opname for linen, amenities, minibar, F&B, and other operational supplies
  • Archive and digitize all receipts and transaction documents into the company's file-sharing system
  • Support the Manager in villa operational administration

Human Resource / Sumber Daya Manusia

Recruitment & Onboarding Manage the recruitment process from start to finish — posting job advertisements, screening applicants, scheduling and conducting interviews, to executing the onboarding process for new employees.

HR Operational Management Compile and monitor work shift schedules, manage attendance and leave data, and prepare payroll administration to be processed by the Jakarta team.

Performance Evaluation Develop and monitor the implementation of Standard Operating Procedures (SOP) and Key Performance Indicators (KPI) for all villa staff.

Employee Relations Act as a communication bridge between management and employees, as well as handle conflicts and personnel issues professionally and discretely.

Qualifications

Mandatory

  • Minimum D3/S1 education in Accounting, Management, Business Administration, Psychology, or HR Management
  • Minimum 2 years of experience in finance, administration, or HR — experience in the hospitality industry (villa, hotel, resort) is a significant plus
  • Understand the basics of bookkeeping, petty cash, and stock management
  • Proficient in Microsoft Excel or Google Sheets
