Position Summary The Junior Associate, Accounts Payable is responsible for supporting daily accounts payable operations, including payment verification, expense and payable recording, transaction monitoring, vendor reconciliation, employee reimbursement, and tax compliance activities. This role ensures that payment transactions and expenses are properly documented, accurately recorded, and processed in accordance with internal procedures. The role also supports the Finance team in monitoring outstanding payables, resolving pending transactions, and preparing data required for monthly closing and tax reporting.
Responsibilities
- Review payment requests and supporting documents before payment processing to ensure completeness, accuracy, proper account classification, and compliance with internal procedures, and record completed payments accurately.
- Prepare and record daily accounts payable and expense journal entries based on approved payment requests, invoices, and other relevant supporting documents.
- Review refund requests, loyalty point redemption requests, and marketing fund requests to verify supporting documents, transaction details, and required approvals before processing.
- Monitor and update pending transaction statuses in coordination with internal teams and payment partners, and follow up on incomplete, rejected, or outstanding transactions.
- Review employee reimbursement submissions, verify the completeness of supporting documents, and ensure that reimbursement amounts are properly recorded and processed.
- Reconcile vendor balances against payment records and accounting data, investigate discrepancies, and maintain an accurate accounts payable aging schedule.
- Support the monthly accounts payable closing process by preparing relevant schedules, reconciliations, and supporting documents for outstanding payables and expenses.
- Support monthly tax compliance activities, including PPh 21, PPh 23, PPh 4(2), and PPN, by preparing and validating relevant transaction and tax data.
- Assist in preparing supporting data and documentation required for monthly tax reporting through Coretax, while maintaining organized tax-related records.
- Coordinate with Finance, HR, Procurement, Operations, and external vendors or partners to resolve payment, reimbursement, reconciliation, and documentation issues, as well as support ad-hoc Finance reporting needs.
Qualifications
- Fresh graduate with a Bachelor's degree in Accounting.
- Strong understanding of basic accounting principles, including journal entries, general ledger, and reconciliation.
- Proficient in Microsoft Excel, particularly lookup functions and Pivot Tables.
- Detail-oriented and comfortable working with high-volume daily transactions and fixed deadlines.
- Able to identify discrepancies, perform basic analysis, and follow up on outstanding items accurately.
- Able to communicate effectively in English, both verbally and in writing.
- Experience using Xero or other accounting software is an advantage.
- Brevet A/B certification or basic understanding of Indonesian taxation is an advantage.
- Strong organizational skills and ability to maintain accurate financial records and supporting documents.
- Able to work collaboratively with internal teams and external vendors or partners.
