Document Control - Archiving
Job Description: Assign, prioritize, and monitor daily tasks for the Archiving Runner team to ensure timely and accurate completion. Ensure all archiving activities are performed in accordance with established SOPs, policies, SLA, and compliance requirements. Monitor daily operational performance and ensure agreed SLA and KPI targets are consistently achieved. Manage user requests, complaints, and operational issues through the ticketing system. Coordinate with IT teams and other departments to ensure the smooth operation of the electronic archiving system and supporting tools. Conduct Root Cause Analysis (RCA) for recurring operational issues and develop appropriate corrective and preventive actions. Identify opportunities for process improvement, automation, and operational efficiency within the archiving process. Develop and implement best practices to improve service quality, productivity, accuracy, and SLA achievement. Maintain accurate records of archiving activities, operational transactions, user requests, incidents, and SLA performance. Ensure proper handling, storage, retention, and retrieval of documents and records in accordance with company policies. Ensure archiving activities comply with applicable security, confidentiality, data protection, and regulatory requirements. Collaborate with business and cross-functional teams to ensure archiving services effectively support business requirements.
Requirements: Minimum Bachelor's Degree (S1) in Business Administration, Information Management, Records Management, Library Science, Information Systems, or a related field. Minimum 3 years of relevant experience in records management, document management, archiving, document control, shared services, or similar operational roles. Experience in document storage, document warehouse, logistics, contact center, or administrative operations is also considered relevant. Previous experience in team supervision or daily operational management is preferred. Strong understanding of archiving processes, document management, SOP implementation, SLA, and KPI monitoring. Experience managing and monitoring daily operational activities and team performance. Experience handling user requests, complaints, incidents, and ticketing systems. Familiarity with electronic archiving systems, Document Management Systems (DMS), Records Management Systems, or ERP systems.
