THE POLÈNE ENVIRONMENT

In a context of development of our retail network, the Visual Merchandising team is looking for its future Visual Merchandising Project Coordinator. The main mission of this role will be to ensure the operational execution of VM projects, contribute to the deployment of guidelines in boutiques, and prepare reliable, clear, and complete deliverables.

This role is at the crossroads of Visual Merchandising, Retail, and operational excellence. The role involves the operational and logistical coordination of Visual Merchandising projects internationally. It also involves guaranteeing the proper execution of installations and in-store maintenance by collaborating with internal teams, suppliers, and various partners, while ensuring compliance with deadlines, budgets, and quality standards.

PROJECT COORDINATION

  1. Coordinate all Visual Merchandising projects, from the preparation phases to installation.
  1. Develop and monitor deployment schedules with the Visual Merchandising Design Project Managers.
  1. Ensure coordination between the VM, Retail Business, Project Manager, Architects, Logistics teams, and external service providers.
  1. Identify risks and implement necessary corrective actions to guarantee compliance with deadlines.

LOGISTICS MANAGEMENT

  1. Organize the logistics of Visual Merchandising elements: furniture, accessories, decor, window displays, and experiential installations.
  1. Supervise the deliveries, installations, and returns of VM animations/VM production.
  1. Guarantee the availability of equipment for each project.
  1. Update headquarters inventories and external stock of VM elements.

MAINTENANCE

  1. Guarantee impeccable execution of Visual Merchandising projects (experiential, animations, props).
  1. Implement and monitor project maintenance with service providers and boutique referents.
  1. Contribute to the continuous improvement of processes.
  1. Management of contracts and budgets related to maintenance on an international scale.

SAP MANAGEMENT AND ORDER TRACKING

  1. Create and track purchase requests in SAP.
  1. Ensure the follow-up of supplier orders until delivery.
  1. Control receptions and coordinate any adjustments with suppliers.

ADMINISTRATIVE AND BUDGET MANAGEMENT

  1. Ensure the follow-up of supplier invoices in connection with the VM Design and VM Operations Project Managers.
  1. Control cost compliance and coordinate billing processes.
  1. Participate in the budgetary follow-up of projects and global financial reporting.

SUPPLIER COORDINATION

  1. Manage operational relationships with suppliers and service providers.
  1. Ensure the maintenance follow-up of VM furniture and installations.
  1. Ensure compliance with quality, cost, and deadline commitments.

PROFILE

EDUCATION

  • Bachelor's or Master's degree in project management, business, logistics, retail, marketing, or an equivalent field.

EXPERIENCE

  • Minimum 5 years of experience in project coordination, Visual Merchandising, Retail Operations, or Supply Chain.
  • Experience in the luxury or fashion sector is an asset.
  • Technical skills:
  • Proficiency in SAP (orders, purchase requests, purchasing follow-up).
  • Good command of Excel and Microsoft Office tools.
  • Knowledge of logistics processes and supplier management.
  • Strong project management skills.
