Role Overview

We are a multi-billion-dollar hedge fund and asset manager seeking a professional, dependable, and service-oriented Receptionist &Office Administrator. The role manages reception, supports daily officeoperations, and provides administrative assistance. Depending on business needs and performance, thesuccessful candidate may also support selected client service activities.

Key Responsibilities

  • Manage reception: welcome and registervisitors, escort guests, offer refreshments, answer calls, and keep the receptionarea presentable.
  • Act as the first point of contact forinvestors, business partners, vendors, and prospective clients; coordinatevisitor access, security passes, deliveries, and building-management requests.
  • Maintain meeting rooms, common areas, and thepantry, with adequate stationery, IT equipment, and pantry supplies.
  • Manage service providers, verify invoices,and maintain vendor files, service contracts, office records, and assetregisters.
  • Provide administrative support for meetings,filing, scanning, correspondence, couriers, expenses, and confidentialdocuments.
  • Coordinate travel, reservations, officeevents, team lunches, and year-end functions.
  • Support HR administration, includingonboarding and offboarding, visitor logs, access cards, and NDA records.
  • Depending on business needs and performance,support client service activities, including client visits, contact records,standard materials, appropriate greetings or gifts, and routing enquiries tothe relevant team.

Required Qualifications & Experience

  • Diploma, Higher Nitec, or equivalent inBusiness Administration, Hospitality, Secretarial Studies, or a related field.
  • At least two years’ experience in reception,office administration, hospitality, or a similar support role; financial orprofessional services experience is preferred.
  • Strong written and spoken English and Mandarin;other relevant languages are an advantage.
  • Proficient in Microsoft Office andcomfortable using standard scheduling and communication systems.
