Shipping Operations Executive
Job Overview
This role is responsible for ensure the effective and efficient coordination of vessel operations for spot tonnage, support statistical reporting, and prepare monthly operational reports. The successful candidate will initially handle spot shipments and, after a period of structured training and understudy, gradually transition into the operations of TC (Time Charter) shipments.
Job Responsibilities
- Liaise closely with the Trading Operations team to ensure trading strategies and requirements are effectively executed and that the company's interests are protected throughout each spot shipment.
- Ensure voyage orders are promptly issued after establishing all required operational parameters, including stowage, quantity, laycan narrowing, and agency nomination.
- Monitor vessel status and voyage progress to ensure vessels remain on schedule and meet the requirements of the trading team.
- Thoroughly review and understand voyage recaps and Charter Parties (CP) before commencement of operations.
- Lodge protests when necessary to safeguard charterers' interests.
- Regularly coordinate with the Trading Operations team, brokers, owners, and agents to obtain the latest operational updates and adjust voyage plans accordingly while keeping all relevant stakeholders informed.
- Facilitate effective communication among brokers, vessel owners, agents, and internal teams to achieve desired commercial and operational outcomes.
- Maintain accurate and up-to-date voyage statistical data and records.
- File all voyage operation documents systematically in designated folders to facilitate easy reference by the Demurrage team.
- Record key voyage events and operational highlights in the voyage management system for future reference and efficient handling of demurrage matters.
- Initiate freight payment processes in a timely manner.
- Review, verify, and evaluate any additional costs incurred during voyages, approving or rejecting them in accordance with Charter Party terms.
- Settle all non-demurrage Charter Party claims for shipments under responsibility and ensure no unjustified costs are charged to charterers.
- Maintain and manage departmental and fleet operational records, files, databases, voyage management systems, and other ETRM data systems in compliance with departmental procedures.
- Provide operational support for pre-fixture and post-fixture activities as required.
- Assist with ad hoc projects and operational duties assigned by management.
Job Requirements
- Diploma in Maritime Studies or a related professional qualification.
- Minimum 3 years of relevant experience in the marine or shipping industry.
- Familiarity with the oil tanker industry, particularly vessel operations and/or trading operations.
- Experience in laytime and demurrage calculations.
- Proficient in both written and spoken English.
- Comfortable working in a fast-paced trading environment.
- Strong written and verbal communication skills.
- Able to work independently while also collaborating effectively within a team.
- Highly adaptable, resilient, and capable of managing changing priorities.
- Strong analytical and problem-solving skills.
- Meticulous attention to detail and a commitment to operational excellence.
