/ Tenancy Coordinator SE23 Monday to Friday Up to £30k basic DOE An organised and experienced , proactive Lettings Administrator is required to support a busy estate agency in SE23. This role is ideal for someone with strong administrative skills who enjoys working in a fast-paced, customer-focused property environment. The successful Lettings Administrator candidate will provide essential support to the lettings team, helping to ensure the smooth running of daily operations. Job Overview Role: Lettings Administrator / Tenancy Coordinator Core Purpose: Support the lettings and property management teams by ensuring all tenancies comply with UK housing laws and proceed smoothly. Key Responsibilities Client Onboarding: Conduct Land Registry searches, arrange client AML documents and issue terms of business via the signature sense platform, book photos and floorplans via approved contractors

Pipeline Management: Work closely with the negotiators to chase required documents to progress the tenancy using a real time excel pipeline system

Tenancy Management: Prepare, issue and execute tenancy agreements via the Goodlord platform

Compliance: Secure vital safety documents like Gas Safety Certificates, Electrical Installation Condition Reports (EICR), Energy Performance Certificates (EPC) and Property Licences (HMO, Additional and Selective Licences)

Inventory Arrangements: Book inventories and check-ins via Reapit (works orders) and approved contractors and send completed reports to parties upon completion

Move-Ins: Coordinate check-in appointments, welcome letters, and key handovers and inform client account team of all new completed tenancies

Deposit Registration: Administer Tenant’s deposits via the DPS and TDS schemes, issue deposit certificates and prescribed information

Communication: Answer phone and email queries from landlords, tenants, and contractors in a professional manner

Database Maintenance: Update property and client records accurately using Reapit or other property software

Keys: Manage the internal client property key system including registering new keys, key releases and key returns

Experience in using Reapit is an advantage, but not essential. If you have a minimum of 1 years experience in a similar role (Lettings Administrator / Tenancy Coordinator), and can hit the ground running, we would love to hear from you.
