*About the Position*
Paris Heart Clinic is looking for a friendly, organized, and dependable *Medical Receptionist* to join our team. Our clinic provides cardiology consultations and non-invasive cardiac testing, including echocardiograms, ECGs, stress testing, and Holter monitoring.
*This position requires working at both our Paris and Kitchener clinics. Applicants must be available to work at either location as scheduled and be able to reliably commute to both.*
As one of the first points of contact for patients and referring offices, you will help create a welcoming patient experience and keep daily clinic operations running smoothly. The ideal candidate communicates clearly, pays close attention to detail, and can manage a busy reception desk while remaining professional and compassionate.
*Key Responsibilities*
- *Patient reception:* Welcome and register patients, verify identification and health card information, update contact details, and ensure required paperwork is completed accurately.
- *Appointment scheduling:* Book and confirm consultations, cardiac testing, and follow-up appointments; manage cancellations and schedule changes; and provide clinic-approved preparation instructions.
- *Communication:* Answer telephone calls, respond to messages, and communicate professionally with patients, referring physicians, and other healthcare offices. Direct clinical questions and urgent concerns promptly to the appropriate clinical staff.
- *Referral and records management:* Process incoming referrals, obtain missing information, prepare patient charts, and accurately scan and organize documents within the electronic medical record system.
- *Clinic coordination:* Work closely with physicians, technologists, and administrative colleagues to support patient flow and coordinate appointments, including Holter monitor pickup and return scheduling.
- *General administration:* Maintain an organized reception area, assist with routine office tasks, and protect patient privacy and confidentiality at all times.
*Qualifications and Skills*
- Previous experience in medical reception, medical office administration, or a similar patient-facing healthcare role is preferred. Experience in a cardiology or specialist clinic is an asset.
- Strong computer skills and familiarity with electronic medical records, appointment scheduling, and accurate data entry. A medical office administration diploma or certificate is an asset.
- Excellent verbal and written communication skills, a professional telephone manner, and a patient, respectful approach when assisting patients and families.
- Strong organizational skills, attention to detail, and the ability to prioritize competing tasks while working independently and as part of a team.
- Reliability, punctuality, and availability to work at both the Paris and Kitchener locations.
