About the company

We are building a B2B trading business that develops and sources products through a network of manufacturing partners and reaches buyers through digital commerce channels. Our work combines product development, contract manufacturing, commercial negotiation, and order execution. We are looking for a Fulfillment Specialist to help build reliable execution processes and a collaborative, accountable working environment. You will work closely with factories and internal teams to keep orders on schedule, address quality issues, and ensure products are ready for a documented handover. Role Overview You will take ownership of order execution follow-up once an approved deal enters manufacturing or preparation, continuing until the goods and supporting documents are handed over to the platform's operations team for shipping. You will monitor production, inspect products personally or with qualified partners, follow up on corrective actions, and keep order updates accurate on the platform. Key Responsibilities

Your tasks

  • Receive the approved order file from the Category Manager and confirm specifications, approved samples, quantities, packaging requirements, milestones, and delivery dates before execution proceeds.
  • Follow up with factories throughout manufacturing and preparation, verify progress against agreed milestones, and flag capacity constraints, technical issues, or delays early.
  • Conduct factory visits when needed to review production progress, discuss technical observations, and verify adherence to approved requirements.
  • Perform initial product inspections personally or with qualified inspection partners, following the agreed inspection procedure and acceptance criteria.
  • Check product conformity, quantities, workmanship, packaging, and relevant technical requirements; document findings with inspection reports and supporting evidence.
  • Suspend acceptance or handover of nonconforming goods, record the deviation, and escalate to the designated decision-maker. Follow up on corrective actions and reinspection before release under the approval framework.
  • Ensure factories follow approved specifications and quality criteria; refer proposed changes to the appropriate technical and commercial approvers before implementation.
  • Track completion and readiness dates, follow up on recovery plans, and communicate timely, factual updates to the Team Lead, Category Managers, and the platform's operations team.
  • Update order stages, production milestones, inspection outcomes, issues, and readiness information on the platform, maintaining accurate and traceable records.
  • Confirm completion of manufacturing and preparation, verify the handover documents, and follow through to documented receipt by the team responsible for onward shipping.

  • Practical knowledge of inspection procedures, acceptance criteria, inspection records, nonconformity reporting, corrective actions, and reinspection. Ability to carry out the procedure personally, even when partners assist.
  • Ability to determine when specialist testing or inspection support is needed and coordinate it through the approved process.
  • Strong schedule tracking and factory follow-up skills, with the judgment to escalate risks and suspend acceptance when quality requirements are not met.
  • Working knowledge of Excel for order tracking and reporting, and the ability to update order statuses and supporting records on digital platforms.
