Junior project coordinator

Key Responsibilities
- Coordinate and maintain the master project tracking list based on school assignments and deployment schedules.
- Arrange and coordinate site surveys with schools, hardware vendors, and the Technical Lead.
- Monitor and update approval statuses, ensuring timely follow-up on pending approvals.
- Coordinate hardware delivery from vendor warehouses to respective school locations.
- Liaise with schools and technical teams to schedule and reschedule server deployment activities.
- Manage deployment schedule changes for schools unable to meet planned timelines.
- Coordinate project timeline extensions where schools are unable to complete deployment within the original schedule.
- Update the project master tracking list daily to reflect completed activities and deployment progress.
- Prepare and send project communications, deployment updates, and notifications to schools, MOE, vendors, and relevant stakeholders.
- Track project milestones, outstanding activities, and follow-up actions.
- Maintain accurate project documentation, schedules, and progress reports.
- Support the Project Manager in day-to-day project coordination and administrative activities.
- Perform other project coordination duties assigned by the Project Manager.
Requirements
- Diploma or Degree in Information Technology, Business Administration, Project Management, or a related discipline.
Preferably
- 1–3 years of experience in project coordination, particularly within IT infrastructure, hardware deployment, or technology refresh projects.
- Experience coordinating with multiple stakeholders, vendors, technical teams, and end users.
- Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
- Strong Excel skills for maintaining master trackers, updating deployment schedules, and preparing progress reports.
- Good organisational, time-management, and multitasking skills.
- Strong written and verbal communication skills.
- Ability to manage multiple school deployment schedules and follow up on pending activities.
- Detail-oriented, proactive, and able to work independently with minimal supervision.
Added Advantages
- Previous experience supporting MOE, government agencies, or school-based IT projects.
- Experience in server refresh, hardware rollout, IT infrastructure deployment, or technology migration projects.
- Experience with vendor coordination, delivery scheduling, and project reporting.
