Tendering Executive (Marine)
Key Responsibilities Support the preparation and submission of tenders, quotations, and proposals for marine projects. Review tender documents, client enquiries, technical specifications, and general arrangement drawings to understand project requirements. Prepare costing frameworks and detailed cost breakdowns based on project specifications, including equipment, materials, labour, and foreign exchange. Source pricing and technical information from equipment and material suppliers to support tender preparation. Prepare and issue RFQs/RFPs to vendors, follow up on quotations, and coordinate technical and commercial clarifications where required. Review and compare supplier quotations against tender specifications, ensuring technical compliance and competitive pricing. Consolidate costing information and prepare detailed cost sheets for internal review, approval, and final submission. Coordinate with internal stakeholders to gather the necessary technical, commercial, and supporting documents for tender submissions. Ensure tender documents are complete, accurate, compliant with submission requirements, and submitted within the stipulated deadlines. Assist in preparing tender review materials, cash flow projections, and basic risk assessments for critical equipment and systems. Conduct market research and gather industry intelligence on vessel types, marine equipment, supplier pricing, and market trends to support competitive tendering. Maintain and update costing records, supplier quotations, and tender documentation for future reference and cost benchmarking. Liaise with clients, brokers, suppliers, and internal stakeholders to clarify requirements and support the tendering process. Provide support during contract discussions and negotiations, where required. Assist with procurement coordination and post-award contract administration, including equipment delivery schedules, milestone payments, budget tracking, and project documentation. Support post-tender reviews and project cost analysis to identify areas for improvement in future tender submissions. Requirements Degree or Diploma in Business, Engineering, or a related discipline. At least 3 years of relevant experience in the marine industry, preferably in tendering, costing, estimation, or commercial support. Experience in reviewing tender documents, preparing cost estimates, and sourcing supplier quotations will be an advantage. Good numerical aptitude, commercial awareness, and attention to detail, with the ability to prepare accurate and competitive cost estimates. Strong coordination, organizational, and time-management skills, with the ability to manage multiple tenders and deadlines. Good communication and interpersonal skills, with the ability to liaise effectively with clients, suppliers, and internal stakeholders. Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint. Knowledge of Microsoft Project is an advantage. Knowledge of contract terms, purchase agreements, or marine insurance terms will be an advantage. Willingness to travel to shipyards or overseas for meetings when required.
