Our client is an established and growing business operating within a technical and project-led environment. Due to continued activity across the business, they are looking for an organised and proactive Administrator to provide effective administrative and operational support across the organisation. This is a varied role that will involve customer service, administration, procurement, logistics, fleet and equipment coordination, financial administration and general operational support. Your Role and Responsibilities While in this position, your duties may include but are not limited to: Provide first-line support to customers and colleagues by telephone and email, ensuring queries are dealt with professionally and directed to the appropriate team members. Maintain accurate records and update internal systems, calendars and databases as required. Process administrative documentation relating to deliveries, goods received, invoices, purchase orders and proof of delivery. Maintain accurate digital and physical filing systems while ensuring confidentiality and compliance requirements are followed. Liaise with suppliers and maintain accurate supplier contact information. Coordinate the off-hiring of plant, machinery and testing equipment. Assist with the planning and dispatch of materials to project sites. Arrange vehicle hire and support the wider management of the company fleet. Act as a key point of contact for vehicle breakdowns, insurance matters and other fleet-related issues. Monitor vehicle schedules and ensure company vehicles remain compliant with MOT, tax and servicing requirements. Arrange maintenance and calibration of tools, plant and testing equipment. Maintain accurate compliance records for company vehicles and equipment. Support the preparation, processing and distribution of invoices. Raise credit and debit notes where required and ensure relevant documentation is provided to the Finance Manager in line with company procedures. Work within established finance and procurement processes to ensure consistency and compliance. Support office and site-based colleagues with day-to-day administrative requirements. Coordinate staff accommodation, including hotel and other travel bookings. Manage staff calendars and assist with coordinating logistics and resource requirements. Help ensure administrative tasks are completed efficiently and deadlines are consistently met. Work collaboratively with colleagues across the business to maintain smooth operational continuity. Provide additional administrative and operational support as required by the Business Operations Manager and wider Senior Leadership Team. What You Will Need to Apply: Previous experience within a customer service, administration or operations-based role. GCSEs in Maths and English or equivalent. Strong data entry and administrative skills with a high level of accuracy. Good working knowledge of Microsoft Office, particularly Word, Excel and PowerPoint. Experience using relevant project management or business administration software would be advantageous. Excellent verbal and written communication skills. Confident telephone and interpersonal skills, with the ability to build positive relationships with customers and colleagues. Strong organisational and planning abilities, with the ability to prioritise multiple tasks in a busy environment. A customer-focused approach with the ability to respond to queries professionally and effectively. Strong attention to detail, particularly when dealing with records, documentation and compliance requirements. The ability to learn new systems and procedures quickly and follow processes accurately. Comfortable working independently while also contributing positively to a wider team. A proactive and positive approach to supporting colleagues and maintaining high service standards. Good written and spoken English. The right to work in the UK.
