HR Operations Specialist
About the job Job Purpose The HR Operations Specialist is responsible for executing day-to-day HR operational and personnel activities throughout the employee lifecycle, ensuring accurate employee records, timely HR transactions, proper attendance and leave administration, and compliance with company policies and applicable labor and social insurance requirements. The role acts as a key operational link between employees, managers, payroll, and the People & Culture function, ensuring efficient and consistent delivery of HR services. Key Responsibilities
- Employee Lifecycle Administration
Manage HR operational activities related to onboarding, employee transfers, promotions, salary changes, contract renewals, organizational changes, resignations, terminations, and offboarding. Ensure all employee transactions are properly documented, approved, and reflected in HR records and systems.
- Personnel & Employee Records
Maintain complete and accurate employee personnel files and ensure required employment documents are collected and updated. Prepare employment contracts, renewal documentation, HR letters, certificates, and other employee-related documents while maintaining confidentiality of employee information.
- Attendance & Time Management
Monitor attendance, lateness, absence, overtime, shifts, permissions, and employee leave balances. Review attendance exceptions and coordinate with employees and line managers to resolve discrepancies before payroll closing.
- Payroll Inputs & Coordination
Maintain and update attendance records, working hours, overtime, and fingerprint/biometric data, and prepare the related monthly inputs required for payroll processing. Ensure the data is accurate, complete, and submitted on time to the Payroll/Finance team.
- Social Insurance & Labor Administration
Support social insurance and labor-related processes, including employee registration, termination, required forms, documentation, and record maintenance. Ensure personnel practices and documentation comply with applicable Egyptian labor and social insurance requirements and company policies.
- Leave Administration
Maintain accurate annual, sick, emergency, unpaid, and other leave records. Verify employee eligibility and available balances and ensure leave requests follow the established approval process.
- Contract Management
Maintain an updated employee contract database and proactively monitor probation periods, fixed-term contract expiry dates, renewals, and required management decisions. Ensure relevant stakeholders are notified sufficiently in advance of required actions.
- Onboarding & Offboarding
Coordinate the HR operational side of onboarding, including employment documentation, employee records, system registration, attendance setup, and coordination with relevant departments. Manage offboarding documentation, clearance processes, final attendance records, and required exit documentation.
- Employee Services
Respond to employee inquiries regarding attendance, leave balances, payroll-related matters, HR policies, employment documents, and other HR operational matters. Issue HR letters, employment certificates, salary certificates, and other approved documents.
- HRIS & Data Accuracy
Maintain accurate employee information in the HRIS and other HR databases. Ensure employee movements and changes are updated promptly and perform regular data audits to identify and correct inconsistencies.
- HR Reporting
Prepare periodic HR operations reports covering headcount, turnover, absenteeism, overtime, leave utilization, contract status, employee movements, and other operational HR indicators.
- Policies & Compliance
Ensure HR operational transactions are implemented consistently according to approved policies and procedures. Highlight policy violations, documentation gaps, and compliance risks to HR management and support internal and external HR audits.
Education: Bachelor's degree in Business Administration, Human Resources, Commerce, Law, or a related field. Experience: Typically 2–4 years of experience in HR Operations, Personnel, or HR Generalist activities, preferably within a manufacturing or industrial environment with exposure to both white- and blue-collar employees. Technical Competencies Strong knowledge of HR operations and personnel administration; attendance and leave management; payroll inputs; employee documentation; HRIS and employee databases; Microsoft Excel; employment contracts; and Egyptian labor and social insurance practices. Experience dealing with shift-based employees, overtime, factory attendance, and high-volume employee transactions is particularly valuable in a manufacturing environment.
