Based on-site at HMA headquarters in Fountain Valley, California, this role supports established workflows across a variety of business functions.
The Process Admin helps keep work organized, ownership clear, and stakeholders informed by logging new items, coordinating assignments, documenting issues, and reporting progress. The role can support different teams and processes while following the requirements of each assigned workflow.
At MSX International, we’re looking for a Process Admin to support established business processes through accurate tracking, clear communication, and consistent follow-through. You’ll log incoming requests and deliverables, coordinate task ownership, document issues, and maintain visibility into progress from intake through completion.
Depending on the process, you may coordinate work assigned to other task owners or remain the responsible task owner while working with key personnel to obtain information, resolve issues, and complete required activities. This role is well suited to someone who can adapt to different workflows, manage competing priorities, and provide reliable status updates.
As a member of the process support team, you’ll:
- Receive, review, and log new requests, tasks, items, or deliverables in designated tracking systems.
- Check incoming information for completeness and follow up on missing or unclear details.
- Assign or coordinate task ownership in accordance with established processes and management direction.
- Remain the responsible task owner when assigned, coordinating with key personnel to move work forward.
- Record applicable requirements, priorities, due dates, dependencies, and supporting documentation.
- Track open items from intake through completion, maintaining accurate and current status information.
- Follow up with task owners and stakeholders on outstanding actions, approaching deadlines, and overdue items.
- Document issues, questions, blockers, and changes that affect progress or completion.
- Escalate unresolved issues, delays, or ownership questions to the appropriate personnel.
- Prepare and communicate routine status updates, summaries, and reports.
- Coordinate meetings or follow-up discussions as needed and document decisions and action items.
- Confirm that required information, actions, and records are complete before closing items in accordance with the applicable process.
- Maintain organized records to support traceability, retrieval, and continuity of work.
- Identify recurring process gaps and communicate opportunities to improve tracking, handoffs, and administrative efficiency.
- Perform other related administrative and coordination duties as assigned by MSX and client management.
If you enjoy bringing structure to day-to-day work and keeping tasks moving toward completion, we want to hear from you.
