Job Description
We are looking for a highly organised, responsible and proactive Management Assistant to the Director to provide direct executive and administrative support to Management.
This role is suitable for someone who is comfortable working closely with the Director, managing multiple priorities, coordinating with different parties and ensuring that matters assigned are properly followed through and completed.
The successful candidate should be independent, dependable and able to exercise good judgement when handling confidential business information.
Key Responsibilities
- Manage the Director’s calendar, meetings, appointments and daily schedule
- Coordinate and arrange internal and external meetings
- Prepare meeting agendas, documents, notes and follow-up action items
- Follow up with staff, suppliers, contractors, customers and business partners on behalf of the Director
- Monitor tasks assigned by the Director and ensure timely completion
- Maintain an organised list of outstanding matters and provide regular progress updates
- Assist the Director in prioritising important and urgent matters
- Draft and prepare basic correspondence, letters, reports and internal documents
- Assist with quotations, supplier enquiries and procurement follow-ups where required
- Coordinate with the design, project, procurement, marketing and administrative teams
- Assist in arranging customer, supplier and business-partner meetings
- Attend meetings together with the Director where required and record key decisions and follow-up actions
- Maintain confidential company, customer, supplier and management information
- Organise digital and physical documents for easy retrieval
- Assist with travel, appointments and business arrangements when required
- Ensure that instructions given by the Director are properly communicated to the relevant parties
- Proactively identify delays, outstanding matters or potential problems and highlight them to the Director
- Carry out other reasonable duties required to support the Director and Management
Key Expectations
This position requires someone who is able to take ownership of assigned matters.
The successful candidate should be able to: Follow up → confirm → update → complete
The Director should not need to repeatedly follow up on the same task.
You will be expected to maintain clear communication, keep accurate records and provide timely updates when matters cannot be completed according to schedule.
Requirements
- Minimum Diploma or Degree in Business Administration, Management, Communications or a related discipline
- Preferably 2–5 years of experience as a Personal Assistant, Executive Assistant, Administrator, Coordinator or similar position. Fresh Graduate are welcomed.
- Strong organisational and time-management skills
- Good written and verbal communication skills
- Able to work independently with minimal supervision
- Able to handle multiple tasks and priorities simultaneously
- Strong follow-up and coordination ability
- Comfortable communicating with senior management, clients, suppliers and external parties
- Proficient in Microsoft Office, email, spreadsheets and common digital applications
- Comfortable learning and using AI productivity tools where appropriate
- Able to handle confidential and commercially sensitive information professionally
- Experience in interior design, renovation, construction, property, procurement or SME environments will be an advantage
