METHOD is a *growing* Design, Engineering & Manufacturing company based in South Surrey. Our 40-person team manufactures everything from one-off custom products for the entertainment industry; to high volume products for specific customers, to in-house products and systems, and sells them through a variety of distribution channels to multiple markets and customer segments. This is inclusive of one of our product lines, the EXO Building System, manufacturing innovative building envelope systems and structural insulated panels (wood and steel). Our construction team works on schools, municipal buildings, and other institutional facilities across Western Canada.

*OVERVIEW:*
The Office Administrator keeps the front office of METHOD Innovation Partners running. The company operates two businesses from its Campbell Heights facility in South Surrey: METHOD, a design, engineering, and thermoplastics manufacturing company producing custom and high-volume products for clients across North America; and EXO Construction Group, which delivers institutional building projects using a panel system manufactured in-house. This role supports both.
The Office Administrator balances bookkeeping functions such as AR/AP data entry/follow ups and backup preparation (requiring an attention to detail and focus on accuracy), and HR support such as onboarding and review coordination (requiring a high degree of emotional intelligence), as well as providing main office reception and general office admin support.
This is a full-time, on-site role reporting to the Director, Business Operations.
*RESPONSIBILITIES:*
Office Administration
- Support new hires as they complete and submit onboarding paperwork
- Help to ensure each department completes reviews and other required HR processes
- Provide HR support to Leadership
- Order office supplies and manage office supply vendors
- Maintain office filing, records, and shared documents
- Support the Director, Business Operations with administrative tasks as required
Accounts Payable & Receivable
- Receive, verify, and code supplier invoices; match to purchase orders and receiving records
- Prepare and enter AP and AR batches in Microsoft Dynamics GP
- Prepare invoices and track receivables; follow up on overdue accounts
- Maintain the EXO project cost journal
- Respond to supplier and customer account questions
- Provide documentation and support to the external accounting firm for review and month-end close
- Manage some vendor relationships and set up new vendor accounts in the accounting system
- Process client credit applications
Sales Order Review
- Review incoming customer orders against quotes for pricing, quantities, terms, and delivery dates
- Enter and maintain sales orders in the ERP/MRP system
- Manage the circulation of the Sales Order Review documents to ensure timely confirmation across the team
- Resolve discrepancies with Sales before an order is released
- Confirm orders with customers and track order status through to invoicing
Reception & General Administrative Support
- Answer and direct incoming calls and general email
- Greet and sign in visitors
- Receive and distribute mail and courier deliveries
- Various administrative support for other departments as needed and assigned.
*REQUIREMENTS:*
Experience
- 2 or more years in an office administration role
- Experience in a manufacturing and/or construction environment an asset
