About the company

RESPONSIBILITIES In a context of strong growth, transition towards the commercial phase, and international deployment, VSORA is structuring its support functions and recruiting an Administrative, Finance & HR Management Assistant. Reporting to the DAF, you will play a key coordination role across administrative, financial, and HR scopes. As a support pillar for the teams, you will contribute to the reliability of processes. In a developing structure, the position is highly operational and versatile: you will participate in the implementation of tools and procedures, and evolve your scope alongside the growth of VSORA.

The current environment notably includes

  • A high-growth organization (regular recruitment of engineers, including international profiles).
  • Partners, notably industrial, internationally (Asia, United States).
  • Payroll and accounting handled in connection with an external accounting firm, with a project to internalize the accounting function within 18 months.
  • An ERP and SIRH currently being implemented and management tools to be structured.
  • Office Suite / Google Workspace and electronic signature tools.

Your tasks

  1. Administrative and financial management:
  • Accounts payable: verify and record invoices, track contracts and purchase orders, prepare payments.
  • Expense reports and payment cards: collect and check supporting documents, act as a liaison with accounting.
  • Purchasing: place and track general services orders (supplies...).
  • Transmit documents to the accounting firm and contribute to month-end closings.
  • File and archive administrative and financial documents (contracts, insurance, leases), and support the DAF and management control in collecting supporting documents (CIR, Bpifrance, European programs).
  1. Personnel administration:
  • Hiring: check mandatory documents, prepare job offers and contracts, track their signature.
  • Foreign employees: work permit applications (passeport talent...), tracking of residence permits.
  • Organize the administrative onboarding of new employees (SIRH, health insurance, equipment, access) and track probation periods.
  • Manage files for interns and apprentices (agreements, schools, OPCO).
  • Collect and check variable payroll elements (absences, leave, sick leave, transport) and transmit them to the payroll provider.
  • Organize occupational medicine visits, declare and track workplace accidents.
  • Draft amendments and certificates, maintain mandatory registers, and archive personnel files.
  • Respond to administrative requests from the teams.

This list is not exhaustive and may evolve according to the needs of VSORA.

You will be able to participate in projects to implement an ERP and a SIRH, as well as the internalization of the accounting function, which is currently entrusted to an external firm.

Requirements

  • From a Bac+2 to Bac+5 background (DCG, DSCG, BTS Gestion de la PME / Support à l'Action Managérielle, BUT GEA, Licence Pro Gestion administrative or RH), you have at least 3 years of experience in a versatile administrative management position (finance and HR), ideally in a startup, technological SME, or industrial environment.
  • Technical expertise: you have good accounting foundations (particularly accounts payable) and in personnel administration. A good knowledge of French labor law and its obligations is a plus; experience with procedures for foreign employees is a real asset. You master the Office suite, particularly Excel.
  • Service orientation and team spirit: you enjoy making daily life easier for others and want to take part in a deep tech adventure.
  • Rigor: you are very rigorous and have an eye for detail.
  • Autonomy and sense of priorities: you know how to manage several subjects in parallel, anticipate deadlines, and be proactive in improving processes.
  • Confidentiality: you are used to handling sensitive information (contracts, financial data, personal data) and discretion is part of your professional DNA.
  • Writing and interpersonal skills: you communicate easily both in writing and orally, with Management, managers, technical teams, and external partners.
  • Languages: fluent English is essential (international context).
