Administrative Assistant/Pioneer

Personnel (1) – Administrative Assistant Contract Period: End at 31 May 2027 (or adjusted according to the actual start date after the issuance of LOA).
Personnel to be deployed at the following hours:
- Mondays, Tuesday, Thursday & Friday: 7:00am to 4:30pm, inclusive of 1hr lunch break
- Wednesday: 7:00am to 4.00pm, inclusive of 1hr lunch break
- Service not required on Saturdays, Sundays and gazette public holidays
Personnel (2) – Administrative Assistant Contract Period: From 1 June 2026 to 31 May 2027 (or adjusted according to the actual start date after the issuance of LOA).
Personnel to be deployed at the following hours:
- Mondays, Tuesday, Thursdays & Friday: 8:00am to 5:30pm, inclusive of 1hr lunch break
- Wednesday: 8:30am to 5:30pm, inclusive of 1hr lunch break
- Service not required on Saturdays, Sundays and gazette public holidays
Note: Working hours may be changed based on school need. However, the number of working hours per week will remain the same i.e. 42 hours per week.
Job Scopes: Both personnel shall be competent in handling front office duties, administrative tasks, and operational support functions. Both personnel shall be responsible for:
- Managing the General Office counter
- Attending to walk-in visitors and phone calls
- Handling enquiries from students, parents, and stakeholders 2. Providing basic first aid for pupils with minor injuries (i.e., small cut, bruises etc.)
- Managing incoming and outgoing mail
- Maintaining cleanliness and tidiness of:
- General Office
- Reception area
- Storerooms and workspaces
- Sickbay
- Managing office supplies and stationery distribution
- Performing administrative duties such as:
- Filing, sorting, photocopying, and shredding documents
- Supporting logistics and operations, including:
- Packing and distributing materials
- Coordinating deliveries and collections
- Tracking and replenishing first-aid supplies (General Office and Special Rooms)
- Performing any other ad-hoc duties assigned All personnel shall:
- Support and cover one another when required
- Be rotated across duties when necessary
- Be capable of performing both front desk and backend administrative roles
Note: Both deployed personnel are required to sign an undertaking to safeguard official information.
Requirements: Both Personnel shall minimally have the following qualifications, skills and experience: Qualifications
- Completed secondary school education
- Those who did not complete secondary school education, but with relevant working experience may also be considered
Skills
- Good interpersonal and communication skills
- Comfortable with working in a fast-paced environment
- Resourceful and able to prioritise work to meet deadlines
- Takes initiative and is able to work under minimal supervision • Good team player
- Good organisation skills
- Basic knowledge of Microsoft Word and Excel
Experience Personnel should preferably have at least 3 years of experience performing duties such as:
- Managing front office operations (attending to visitors, answering phone calls, handling enquiries)
- Providing administrative support (filing, sorting, photocopying, record-keeping, document handling)
- Supporting school operational and logistical tasks (managing supplies, coordinating deliveries, replenishing first-aid items)
- Previous experience working in a primary school or educational environment is a plus.
