Service Administrator
JOB PURPOSE
Oversee the planning, scheduling, control and all administrative functions incidental to the running of the MARC.
DUTIES & RESPONSIBILITIES
Duties and responsibilities include but are not limited to the following:
- Effective WIP (Work-In-Progress) management, ensuring WIP values remain below established thresholds to support business profitability – Minimum job count, minimum WIP cost, minimum WIP age.
- Effective oversight of contract Administration process, including timely follow ups for POs, timely invoicing of all monthly jobs while collaborating with Finance department to ensure all outstanding customer invoices are correctly uploaded for payment by the customer within ten (10) working days from invoice date.
- Ensuring all supporting documents required by the customer to facilitate invoice payments are accurately prepared monthly: [Site damage reports, Monthly accruals report, lubricants, fire suppression etc]
- Effective oversight of Job opening and invoicing practices by service administrators to ensure all job requirements are met [in support of Service Excellence Performance metrics]
- Effectively collaborating with procurement department to ensure all items requested for are sourced and delivered as expected and processing all vendor invoices promptly to sustain business relationships.
- Effectively managing the CAPEX budget and MARC tooling purchases and ensuring all records are up to date.
- Effectively supervising and driving the performance of service administrators/planners with SMART goals to achieve departmental objectives.
- Reviewing closed jobs before they are invoiced to ensure the correct accounts are charged appropriately [warranty, contract, customer, expense]
- Ensuring accurate record-keeping and archiving particularly with regards to the MARC financials to and supporting finance team by providing the necessary documents during audits as required.
- Leading effective PSI meetings with the administrative department to ensure all team members are aligned on safety and best practices, and are aware of the latest site communications as well as job updates.
- Perform other work that will be assigned by the Maintenance Planning manager
EDUCATION
Minimum of HND Engineering - Mech/Electrical/Agric
EXPERIENCE
Minimum of four (4) years post qualification experience in Mining, Engineering or Construction.
REQUIREMENTS
- Excellent verbal and written communication skills.
- Good Numerical Skill.
- Ability to work with speed and accuracy on assigned tasks.
- Good timekeeping and record-keeping abilities.
- Proficiency in the use of Microsoft applications including MS Project, excel, power-point, Access and other asset management software.
- Ability to manage and drive performance.
- Prolonged periods of sitting and exposure to computer lighting.
- Candidate needs to be physically and mentally fit.
